Part A Leave for conferences and research/professional work
Part B Request for financial support (if sought)

Part C Arrangements made to cover responsibilities
Part D International travel approval (if relevant)

Note: If leave from duties (such as annual leave, LSL, leave without pay), accompany conference or fieldwork the University Application for Leave form will also need to be approved prior to travel for approval by the faculty and forwarding to HR.

Process

  • Where possible, start early and gain confirmation of funding and approval of leave before making travel or other commitments.
    -- annual leave is an entitlement but its timing must be approved
    -- leave to attend conferences is not automatic
  • For funding applications, Part A and Part B must be submitted together, you can ask for variations on that leave later, if necessary. Attach the supporting information.
  • If you are able to complete Part C when you submit Parts A and B, do so, since any approval of funding and leave will be contingent on approval of arrangements made. At least two weeks prior to travel, make arrangements to cover your teaching, supervision and administrative responsibilities, and submit Part C.
  • If necessary, complete Part D. International travel requires this approval and approval of leave to attend a conference or fieldwork may be withdrawn if international circumstances change.
  • For annual leave, long service leave, illness and other forms of leave from duties complete the University Application for Leave form. It will be forwarded to HR after approval by the Faculty.
  • Obtain your supervisor’s recommendation and signature on all documents.
  • After you have your supervisor’s comments and signature, submit the completed application to the Associate Dean Staff (Peninsula or Clayton based staff) or Associate Dean Gippsland (Gippsland based staff).
  • Check that approval for leave has been given before proceeding on the leave. Approval of funding does not constitute approval of leave.
