Job Title:Volunteering Projects Officer

Department:Face to Face Services

Reports to:Volunteer Support Manager

Location:Head Office, Hammersmith, London

Purpose of the Job:To support the development of the volunteering programme and managing our volunteering projects (including our befriending and SkillsBank projects).

Key Responsibilitiesand Accountabilities

  1. To deliver key projects and volunteering initiatives to develop the volunteering programme across the charity to increase volunteering opportunities and volunteering participation
  1. To evaluate new volunteering projects and initiatives and report on their impact
  1. Contribute to the planning, development and growth of Turn2us Volunteering services.

Duties:

  1. To deliver key projects and volunteering initiatives to develop the volunteering programme across the charity to increase volunteering opportunities and volunteering participation
  • Assist the Volunteer Support Manager with the development and delivery of the volunteer projects which includes the newly launched befriending pilot. Roll out the Befriending Project to ensure provision of a high quality befriending service against the Volunteering Strategy Action Plan timeline
  • Co-ordinate the befriending service on a day-to-day basis and provide operational support to volunteer befrienders and befriendees ensuring that befriender visits are appropriately organised, arrangements communicated and that the relevant risk assessments have been completed.
  • Responsible fortheoperational stages of volunteer projects, and other project volunteer role recruitment including advertising and promotion of the role, timely responses to enquiries, interviews and assessment of the suitability of volunteers in respect of their skills and availability against the relevant role description.
  • Assist with the induction and training of volunteers
  • Facilitate peer support forums for volunteersto share good practice and learning from their volunteering experience
  • Co-ordinate the Skills Bank initiative; identify suitable potential partners and manage ongoing relationships with corporate partners for the Skills Bank initiative
  • Proactively promote the Skills Bank initiative to potential volunteers and collate skills and activity offers, highlighting potential skill match opportunities to the Volunteer Support Managerfor assessment against the operational framework of the project
  • Ensure the Skills Bank initiative is correctly rolled out across the charity with teams actively supporting and encouraging opportunities for skills exchange within their teams
  • Coordinate and take responsibility where necessary for other volunteer projects as and when funding is secured to undertake other roles as outlined in the volunteer strategy action plan
  1. To evaluate new volunteering projects and initiatives and report on their impact
  • Monitor the delivery and performance of projects as they are established to ensure they are operating successfully, that outcomes for the individuals involved are being met and that any performance issues in respect of the volunteers are addressed
  • Ensure record keeping of volunteer interactions is accurately maintained to inform evaluation of the project’s impact in line with organisational KPIs
  • Actively contribute to the evaluation of the pilot phase of all projects by providing evidence of the overall effectiveness of the service and the outcomes achievable through the provision of monthly monitoring reports
  • Maintain records of financial expenditure and highlighting any changes to expenditure flow during the pilot phase of the project that may result in costing revisions
  • Monitor and evaluate the impact of the Skills Bank brokerage processes by accurate and timely data collection and delivery mechanisms
  • Develop marketing and promotional literature from skills exchanges to generate interest from additional partners beyond the pilot phase
  1. Contribute to the planning, development and growth of Turn2us Volunteering services.
  • Support the Volunteer Support Manager in the planning, development and growth of Turn2us volunteering services
  • Participate in team meetings and contribute to the recording and reporting on management information and the impact of the service
  • Provide support to the overall objectives of the volunteer team as and when required

These are the normal duties, which the Charity requires from the position. However, it is necessary for all staff to be flexible and all employees will be required from time to time to perform other duties as may be required by the Charity for the efficient running of the Charity. The post holder will be expected to ensure that their work complies with the Charitie’s policies and procedures and key legislation such as data protection and charity law. This Job Description is non-contractual. It will be reviewed from time to time and may be subject to change.

Person Specification

Education:Essential:“A”level qualifications or equivalent

Skills: Essential:Good project management skills

Excellent administrative skills, including experience with databases for reporting, attention to detail and effective prioritisation

Ability to competently use MS Office suite to deliver work, especially Word and Excel

Good organisational skills with experience of managing own workload and reacting to changing circumstances or demand

Excellent customer service skills

Desirable:Project management qualification such as Prince2 or equivalent experience

Knowledge:Essential:Understanding of charitable work and

the voluntary sector

Knowledge of volunteering good practice

and its practical application including an understanding of the role of volunteers working alongside paid staff

Experience: Essential: Experience of coordinating cross organisational

projects

Experience of working in a volunteer led environment and co-ordinating volunteering schemes

Experience in monitoring project performance and budgets and compiling evaluation

Desirable:Experience of supporting or managing a befriending project and/or facilitating employee supported volunteering skills exchanges

Experience working in accordance of a Project Management framework (e.g: Prince 2, Agile),preferably skilled in using project management tools such as Gantt charts and risk registers

Accustomed to working in an office environment as well as to lone-working
