JOB TITLE:Special Events 2017 Project Co-ordinator

DEPARTMENT:Fundraising

HOURS:36 hours per week (F/T)

SALARY: £28,125per annum (Fixed term contract until April 2018)

RESPONSIBLE TO:Campaign Director

Primary Job Purpose

To be responsible for leading St Christopher’s 2017, 50th Anniversary celebrations and to be responsible for enthusing the organisation, its volunteers, supporters and the public at large in celebrating this landmark anniversary.

To meet 2017 fundraising targets through organising our own promotional and fundraising events as well as by encouraging current and potential supporters to organise their own celebratory 50 anniversary events.

To liaise with all internal departments and to work closely with the communications team to raise awareness of the St Christopher’s work across the past 50 years as well as future plans.

To increase the reach of St Christopher’s across all 5 London Boroughs and develop new relationships with potential funders and supporters.

Principal Accountabilities

  1. Lead the agreed 2017 calendar of celebratory events Take responsibility for managing all fundraising activities internally and externally; ensuring costs are kept to a minimum and plan activity with the communications and fundraising team, including any volunteers, to ensure the smooth running of all events and where appropriate fundraising targets are met.
  1. With each eventoversee 2017 special fundraising events from start to finish including: managing and producing detailed proposals (e.g. timelines, venues, suppliers, legal obligations, staffing and budgets); checking security and booking of all venues/ equipment where relevant; ensuring insurance, legal, health and safety obligations are adhered to; coordinating venue management, caterers, set/stage designers, contractors and equipment hire; organising facilities for car parking, traffic control, security, first aid, hospitality and the media; confirming arrangements for speakers or special guests; planning room layouts and the entertainment programme, table plans, scheduling demonstrations; coordinating staff and volunteers; selling sponsorship and corporate match giving support to potential partners; organising the production of tickets, posters, catalogues and sales brochures; preparing information packs and promotional materials; overseeing the dismantling and removal of the event and clearing the venue efficiently.
  1. Research potential supporters using the 2017 hook to identify new opportunities for fundraising at St Christopher’s.
  1. Act as the main 2017 event contact for employees and supporters and where relevant encourage supporters to hold events to raise funds. Sustain a relationship with all fundraisers and ensure 2017 is profiled at all events across 2017.
  1. Work with the communications team to ensure the most appropriate tools are used to promote and advertise all events in a timely fashion, including post event press releases and thank you’s. Ensure all internal and external supporters kept up to date with regular 2017 bulletins
  1. Work with donor support team to ensure all gifts logged and thanked appropriately.
  1. Keep clear and informative records of all communications with supporters on the fundraising database. Log all donations and events.
  1. Work closely other departments and attend regular meetings to discuss collaborations and future fundraising and events.
  1. Attend events, as necessary including some non 2017 events (sometimes outside contracted work hours).

  • Proven several years event management experience supported by an impressive portfolio of previously managed events
  • Relationship building at all levels, with key stake holders, managing clients expectations and outcomes
  • A working knowledge of a CRM or other industry database, like Raisers Edge
  • Experience managing volunteers
  • Public speaking experience
