JOB TITLE: Service Coordinator

JOB OVERVIEW

Primary function

Responsible for the smooth and efficient registration of all new volunteers and volunteer roles by acting as first point of contact, vetting for eligibility, advising on volunteer recruitment, helping to improve the quality of roles, and entering data with speed and accuracy. Exceptional attention to detail and good phone manner are essential.

This role is critical for the smooth running of our service and involves working effectively with the rest of the service team and the marketing team.

Additional functions

In addition to this primary function, the service co-ordinator supports other areas of service delivery and marketing. We are a small team which works collaboratively, and we expect everyone to pitch in, as needed. Depending on priorities, and the post holder’s interests and aptitude, the service co-ordinator may also contribute to work areas such as:

Trustee recruitment service - for example,

·  designing and creating candidate information packs

·  posting role adverts on external jobs boards

·  running executive searches and headhunting potential candidates

Marketing – for example,

·  representing Reach at voluntary sector events

·  supporting social media and marketing activities

JOB PROFILE IN DETAIL

-  Ensure that both the volunteer and charity registration process is smooth and efficient, maximising the number of enquiries that convert into registrations

-  Answer telephone calls and respond to incoming emails and enquires in a timely manner, explaining our service, advising or signposting where necessary.

-  Review all incoming volunteer registrations, ensuring that the correct criteria is met

-  Review all incoming client organisation registrations, ensuring that the registration process has been completed correctly.

-  Advising charities on how to best scope and present their roles to attract skilled volunteers.

-  Ensure that all registrations are correctly uploaded to the website.

-  Using the CMS to search for volunteers, roles and organisations and to update the website accordingly.

-  Work closely with Reach Marketing Team, TrusteeWorks Team and Service Manager to support the recruitment of new volunteers and organisations on a nationwide basis; this may involve managing social media, attending volunteering sector events, writing blogs, being involved in marketing drives, creating recruitment material, posting on jobs boards and headhunting candidates.

-  Taking on various office management tasks- dealing with post, managing staff diaries, ordering stationary and looking after office environment.

-  Carry out data cleansing tasks, and any other ad hoc administrative tasks that may arise.

-  Participate in team meetings.

-  Carry out other reasonable duties, as appropriate, at the request of Service Manager and CEO.

PERSONAL PROFILE

Experience and Qualifications

-  Great customer service skills, able to manage customer expectations well, and present a professional and courteous face of Reach to volunteers and charities

-  Excellent data entry skills; able to work fast and accurately, with good attention to detail

-  Highly organised with good time management skills; able to work systematically and prioritise tasks to cope with fluctuating needs

-  IT confident; familiarity with Microsoft Office programmes

-  An excellent communicator who can communicate effectively at all levels, both orally and in writing

-  Self motivated and an ability to use own initiative

-  Able to work well with a diverse team which includes staff and volunteers

-  Flexible, a quick learner with a positive can-do attitude

-  Hard working, responsible and reliable, able to work well in a fast paced environment

Desirable

-  Experience of working in the voluntary sector and working with volunteers, or a strong interest in the sector.

-  Understanding of the recruitment needs of small and large organisations

-  Previous database experience

-  An interest in IT and social media would be useful
