The Fundraising team plays a key role in Mercy Corps, generating income and raising profile. Fundraising Operations is pivotal to the success of not only the Fundraising team but the organisation as a whole.

Job purpose

The post-holder will be a vital part of the fundraising team. S/he will ensure the accurate, efficient and effective processing of gifts and Gift Aid claims, provide segmented data selections, campaign analysis and reports to the Fundraising team. The Fundraising Operations Officer is to be a point of expertise on the supporter database in terms of supporter information, income and KPI reporting and maintaining database cleanliness and integrity.

Main Duties and Responsibilities

Gift Processing and Gift Aid Claims

·  To be responsible for all gift processing and maintenance of appropriate records e.g. batches, paper files, and other records related to financial contributions.

·  To be responsible for accurately and efficiently recording all gifts on our Raiser's Edge donor database. To run and manage the acknowledgement and thanking of these gifts.

·  To be responsible for claiming all Gift Aid from HMRC and all match-giving requests. To ensure that all Gift Aid declarations are recorded correctly on the fundraising database and to manage the storage of these declarations electronically and in paper form.

·  To run and manage Gift Aid on small donations.

·  To support the Fundraising Operations Manager in providing the Director of Fundraising with financial and activity reports.

·  To work closely with key members of the Finance team to ensure the reconciliation of gifts.

·  To run and manage the importing and exporting of data for gift processing. To extract gift and Gift Aid data from the database for use by the Finance team.

Selection briefs and data selections

·  To work closely with key members of the Fundraising team to produce targeted selection briefs for mailing, telemarketing and email campaigns, providing advice on best criteria and segmentation.

·  To produce accurate, segmented data selections to schedule.

·  To ensure the data cleanliness and structure of cold data prior to its use in Fundraising communications.

·  To run accurate suppression files for cold data activity and long-running warm campaigns.

Analysis and reporting

·  To produce basic campaign analysis reports to show performance of particular fundraising activity and to make recommendations for how to improve this performance in the future.

·  To monitor and produce reports on key performance indicators on income, patterns of giving and donor information.

Database management, data integrity and training

·  To run regular monitoring and to manage the resulting corrections to the fundraising database.

·  To identify and implement database cleaning opportunities.

·  To write and maintain up-to-date basic database procedures.

·  To maintain database back-up and implement database updates.

·  To assist the Fundraising Operations Manager in running database training for all users.

Other Responsibilities

·  To actively consider our stakeholders and beneficiaries in all areas of practice and to implement MCS and Institute of Fundraising best practice guidelines and policy.

·  To observe all health and safety requirements.

·  To ensure adherence to data protection law at all times and to convey key data protection.

·  Any other duties as assigned.
