Job title: Corporate Donations Assistant

Department: Crisis at Christmas London (Client Services)

Reporting to: Resources Manager

Aim

  • Assist the Resources Manager with the resources programme for Crisis at Christmas.
  • Build relations with prospective donors and supporters, (including businesses, publicity agencies, charities, community organisations and associations, supporters, stakeholders and individuals).
  • Secure the donation and delivery of resources required to set up and run Crisis at Christmas temporary centres and provide the catering, accommodation, clothing, healthcare, well-being, entertainment, training and advice services.
  • Ensure all resources secured are the correct quantity, specification,lawful and delivered, free of charge, at the right time

Dimensions

  • Working within the Crisis at Christmas team
  • Assists in the implementation and delivery of the Crisis Christmas resources programme (value in excess of £500,000 per annum)
  • Helps to develop and enhance relationships with corporate donors, community groups and associations, individual supporters and stakeholders
  • Liaises with interns, volunteers or temporary staff members

Circumstances

  • 35 hours per week
  • 5 month fixed term contract commencing September
  • To work unsociable hours including several days during the Christmas period from 22 to 30 December
  • The ideal candidate will not have existing holiday commitments for the period September to December inclusive

Salary

  • £23,915 pa pro rata

Principle Accountabilities

  • Assist the Resources Manager with the compilation of wish-lists of items that need to be resourced for each service and for the set up of centres including food, medical provisions, building supplies, entertainment, learning & skills materials
  • Assist with the implementation of the resources strategy,take responsibility for the resourcing of the wish-lists delegated to the job holder and carry out subsequent donor stewardship
  • Assist in the preparation of appeal mail-shots and personalise emails to existing and prospective donors
  • Maintain relationships with existing donors, canvassers, stakeholders and supporters, encouraging continuity and extending their involvement with Crisis
  • Research, identify, ‘make the ask’, build and enhance relationships with prospective donors and existing donors
  • Respond to gifts-in-kind enquiries from schools, religious groups, individuals and office collections which relate to the community ‘wish list’ of items, the drop-off points and, if appropriate, arranging collections of donations
  • Continuously respond to, acknowledge, thank and recognise the generosity of donors
  • Co-ordinate, with volunteers, the sourcing of contents, the preparation, packing and delivery of guests’ ‘Winter Kit’ (goody-bags)
  • Monitor and maintain data on wish-lists, donors, pledges, gifts and collection/delivery details on the Resources Monitors and/or Raiser’s Edge
  • Provide the Resources Manager with weekly status reports on the progress and fulfilment of individual wish-lists and priority resources/items
  • Liaise with the Resources Co-ordinator to ensure the cost-effective collection and delivery of resources from donors, particularly the delivery, storage and logistical arrangements for food and catering supplies
  • Maintain the list of hired and loaned items for wish-lists delegated to the job holderand work with the Resources Co-ordinator, Service Co-ordinators, volunteers and interns to co-ordinate the return of loaned/hired equipment
  • Canvass charities, and collaborate with the Resources Co-ordinator, to re-distribute, recycle and dispose of surplus resources following centre close-down and closing stock-take
  • Assist the Resources Manager with the formal evaluation of the resources operation and the annual audit
  • Support the overall work of the Crisis at Christmas team and Resources team, taking part in meetings and tasks as necessary
  • General
  • To develop and maintain an understanding of the charity’s work and the needs andcircumstances of homeless people
  • To comply with Crisis policies and procedures, including Health and Safety policies, for which all employees owe a duty of care both to themselves and others, in accordance with the Health and Safety at Work Act
  • To carry out any other duties that may reasonably be required in the light of the main purpose of the job

Person Specification

Essential

  1. Previous fundraising, sales, retailor marketing experience
  2. Experience of either face-to-face fundraising or sales, telephone fundraising, call-centreor retail work
  3. Experience of building strong relationships with customers, corporate donors, charities or social enterprises; developing new business opportunities; negotiating and influencing decisions
  4. Excellent verbal communication skills to create build and enhance relationships, ‘make the ask’ and possess highly persuasive written skills to make an effective ‘call to action’
  5. Well organised, ability to work under pressure, to tight deadlines, results orientated, strong customer service and account stewardship skills
  6. Ability to work with volunteers as part of a team
  7. Good working knowledge of Microsoft office suite and, in particular, Excel
  8. Ability to work with a donor or customer relations database (e.g. Raiser’s Edge would be preferable but not essential)
  9. Commitment to Crisis’ purpose and values including equality and social inclusion
