Job Title: Apprentice Grants Assistant

A rare opportunity for a young person to assist Cheshire Community Foundation in the award of over £500,000 per annum of grants to charitable organisations, supported by funds from individual high net-worth philanthropists and corporate organisations, who wish to make a difference to the lives of disadvantaged people, in Cheshire and Warrington.

Hours of work:30-37 hours per week (flexible) - occasionally some evening and/or weekend work.

Salary:Depending on the candidate’s skills (with built in quarterly reviews to increase salary as skill levels are achieved)

Contract:Apprenticeship

Pension:NA

Holidays:25 days holiday per annum pro rata, in addition to public holidays

Location:The post-holder will be based at the Foundation’s Offices (currently in Northwich but we are in the process of looking for new premises ideally in the mid-Cheshire area. Some travel will also be required throughout Cheshire).

Line management:Line managed by the Grants Director

Role Purpose:To underpin the Foundation’s grant-making work, providing administrative and clerical support and fulfil the role of Personal Assistant to the Grants Director

Key Deliverables

1.Grants and Programmes Administration

Support the grants administration work, including:

•Administration of Panel/Committee meetings and events, including taking minutes (after training).

•Administration of grants programmes from promotion to fulfilment and monitoring

•Updating and maintaining grants information using the Salesforce D2 database

•Communicating with applicants, potential applicants and beneficiaries

•Collating, printing and tidying of grant assessments, summaries and reports (undertaken by Assessors).

•Drafting copy under supervision for impact reports, website information, case studies and bulletins

2.Grant Making Financial Administration

Undertake financial administration duties including:

•Producing information for reports

•Preparing documents ready to make grant payments and associated reports (under supervision)

•Collating summaries of assessor expenses for the Grants Director

3.General Administration

•Work as the Personal Assistant to the Grants Director providing clerical support for Board and Committee/Panel meetings

Undertake a range of clerical and administrative duties including:

•Being a front-line telephone answering person, responding to general inquiries and signposting information, and taking messages

•Preparing food and refreshments for meetings, making teas/coffees and washing up once a day

•General housekeeping/tidying/cleaning-up of office premises post grants panel meeting

•Weighing and franking post.

•Completing other tasks as required by the Grants Director, and for which the post-holder is judged to be competent, in line with the scale and general nature of the role.

4.Other

•With training and support, and where approved by the Grants Manager, the Grants Assistant may accompany Foundation staff in a variety of forums events and meetings to help administer activities (for example attending Meet the Funder events/new donor events, assisting with the planning, preparation and delivery).

Experience

•Ideally some experience in an office and/or charity environment

•Interested in clerical and administrative work

•Able to undertake internet/desk based research and help to write reports

•Working both on own initiative and as part of a team

•Representing an organisation, team/club.

•Voluntary work and/or fundraising/working an advantage

•Experience of using social media

Education and other skills

•GCSEs at grade A - C in Maths and English

•Full driving license and access to, and willingness to use, a car for work purposes

•A mature approach to communicating and working with people – the role may bring the Apprentice into contact with a range of high net worth individuals and corporate organisations.

•A good team player working within a small team of five staff and a number of regular volunteers and freelance grants assessors, alongside donors and a Trustee Board.
