Job Title: Administration and Reception Worker

Reporting to: Director

Location: Islington base with occasional London wide travel

Term: Permanent /Part time 28-30 hours per week negotiable [6 month probation]

Salary: £22,616 pro rata [incl Inner London Weighting]

+ 7.5% employer pension contribution on successful completion of probation, 25 days annual leave plus public holidays

Mind Yourself works to address health inequalities in the Irish community in London and improve well-being among London Irish people. We provide:

Job Summary

  • To provide an efficient and respectful reception service over the phone, by email and in person to all service users, visitors, suppliers and partners of Mind Yourself
  • To provide administrative support to the Director, Trustees and staff team including office management, general IT and secretarial support, written communications and database maintenance.

RESPONSIBILITIES

  • Responsible for the provision of an effective and efficient customer focused reception, email and telephone service, and direct queries efficiently
  • Provision of general administrative and secretarial support to the Director and other staff
  • Maintaining monitoring, filing and computer systems including databases
  • Provision of sign post information to clients over the phone/in person/via email, and referral to specialist Mind Yourself staff
  • Ensuring the team office and group work space are well maintained
  • Managing basic petty cash system
  • Recording minutes of team meetings and other meetings as required
  • Control of stationery, office equipment, and management of general maintenance/recycling
  • Maintaining website and social media links, and developing fortnightly e-newsletter
  • Working as part of the team to collect data and develop information and publicity material
  • Working as part of the team to organise occasional events
  • Attending seminars, conferences and workshops as required
  • Maintaining your own wellbeing by participating in regular supervision and in team meetings

Relevant Skills and Experience

  • Experience of managing a busy office environment
  • A friendly and professional manner, mature with a common sense approachand excellent timekeeping
  • Excellent verbal and written communication skills, including contributing to marketing materials
  • High degree of computer literacy and IT proficiency including Microsoft Office suite, social media and website
  • Ability to manage and reconcile petty cash systems
  • Experience of working in the community/voluntary sector and ability to deal with service users some of whom may be stressed
  • Ability to work on own initiative and be flexible
  • Understanding of, and empathy with, the needs of the London Irish community
  • Experience of organising a diverse range of events and promoting these
