  • 35 hours per week (between 8.00 a.m. and 4.00 p.m.)
  • Term time plus staff development days (39 weeks per year)
  • Kent Range 3 £14,523-£15,984 pro rata

Working under the direction and guidance of the Administration Manager Mrs Marcia Pease andthe Headteacher Mrs Alison Farrall to carry out a wide range of administration tasks to run a friendly but efficient school office.

Duties & Responsibilities

General Administration Duties

  • General typing and word-processing for letters and memoranda. Composing letters for signature etc.
  • General administration duties, filing, photocopying, distribution of mail to parents/governors, duties connected with the recruitment of staff, and or/pupils.
  • Reception and telephone take messages, welcome and filter visitors and enquiries as appropriate; respond to pupil and parent enquiries.
  • Computer work – update SIMs pupil database, records, extract information and produce ad hoc reports/print outs.
  • To tend to children sent to the medical room during teaching hours and to contact home or responsible adult if necessary.
  • To collect, check and recordmonies.
  • Dealing with deliveries and representatives.
  • Dealing with staff, outside agencies, parents and pupils.
  • Aid deputy headteacher and inclusion manager with organisation of IEP days, G&T days, SEN register and general clerical matters.
  • Aid classteachers in booking visits, trips and coaches.

Shared Responsibility for Pupil Records

  • Collection and maintenance of pupil records.
  • To be responsible for organising school medicals, liaising with the doctor, school nurses and local health authority, as appropriate.
  • Monitoring pupil absence, lateness and to make ‘first day’ telephone calls.
  • Collating attendance and meal registers and informing the kitchen of dinner numbers.
  • Administration of free school meals entitlement.
  • Collecting and transferring data between schools.
  • Updating SIMS.net (school information management system). Training will be given.
  • Arranging medicals, dental and health screening for pupils.
  • Administration of new foundation (Year R) intake.
  • Transfer of records to secondary schools.

Specific Responsibilities

  • To be first point of contact for all visitors and callers.

The successful candidate will also be expected to:

  • Make tea and coffee for visitors
  • Be responsible for first aid for pupils, staff and visitors (training will be given if required.
  • Participate in PTA events.
  • Participate in team building events.
  • Participate in school activities such as dressing up for book day or Genes for Jeans day etc.

Such other duties as the headteacher or administration manager may from time to time require.
