JOB PURPOSE:- To lead the day-todayMI functions of collecting and analysing the data of all MIdatabases which Adviza are responsible for managing and/or loading information on to eg.CCIS(IYSS/IO), NCS (YETI), Apricot, Solution 9, CRM.
- To ensure evidence is collected and stored in accordance with all contractual obligations and requirements of the Data Commissioner.
- Work with the NCS Contact Centre Team to ensure the efficient management of their communication, tracking,outcome and evidence recording processes.
- Responsibility for making allMI returns to central government departments and reporting to commissioners.
- To act as Data Protection lead for Adviza and ensure all staff are appropriately trained.
- To work in partnership with all commissioners to enable scrutiny and analysis of our MI to help plan services to customers.
- To lead and support the outputs required for all internal and external audits specific to and/or which can be supported by the MI systems.
MAIN DUTIES AND RESPONSIBILITIES:
To develop, evaluate and implement any solutions whichsupport performance management, reporting to commissioners and maximise the efficiency of administrative procedures.
To ensure all reports and MI outputs relate directly to the outcomes and evidence requirements of all contracts and specific commissioner’s requirements.
To manage the production ofregular, accurate and timely MI reporting from all databasesfor,internal customers (including SLT via the monthly Balanced Scorecard) and external stakeholders, to help decision making, support continuous improvement and to ensure resources are deployed where they are most needed.
To monitor the Company performance and statistical returns to commissioners for all projects and services by - contract; delivery teams and individuals.
To work with staff and commissioners/stakeholders to respond to ad hoc data requests.
To provide information for and present to the Adviza Board and committees as required.
To attend meetings with commissioners and other partners when discussing issues relating to specific projects/service MI.
To be proactive in keeping abreast of, developing and using technology and processesfor data collection (from all stakeholders) to improve efficiency of reporting, data collection methods and MI reporting procedures.
To support all audit requirements (eg. OfSTED, internal audit team, SFA, EFA, DfE) wherever appropriate and to provide support with reports as necessary and as (reasonably) requested.
To seek innovative ways to expand the services we offer to commissioners and stakeholders to enhance our reputation as a provider of choice and actively pursue opportunities to develop our MI expertise and services.
To be the operational lead withsuppliers of systems to ensure that the services they provideare at the lowest optimum costs and delivered to the standards required. This may include recommending a change of provider where appropriate.
To manage and develop the MI team to ensure that individual, team and company objectives and targets are achieved as set out in the Business Plan. Specifically, to proactively work to reduce costs and increase income where possible.
To train Adviza and subcontractor staff in all aspects ofMI requirements, to identify risk and to seek mitigations for potential failures in the data collection and processing procedures.
To act as the registered ‘Data Controller’ for the organisation and to deliver training for staff and subcontractors on robust data protection procedures and the Data Protection Act.
To work with all delivery and subcontractors’ staffto ensure they are fully trained and competent in using project and service specific databases.
To support all line managers to ‘self-serve’ in order for them to be able to provide performance management data for themselves and their teams.
To implement and actively keep up to date all MI and Data Protection policies throughout the Company.

PERSON SPECIFICATION -
Knowledge Manager
Key Criteria / Essential / DesirableKnowledge/Qualifications / Educated to degree level or equivalent.
Detailed knowledge of analysing and using management information systems / Holds a professional qualification in a careers/employmentrelated discipline.
Knowledge of IYSS, YETI, IO, Profile, PICS and any other government/local authority database
Competence Summary
(knowledge, abilities, skills, experience) / Proven significant experience of working with and analysing databases
IT Literate
Proven track record of working with and effectively engaging stakeholders including the private, statutory and voluntary sectors.
Technically conversant
especially understanding hardware issues linked tosystems used for data collection across Adviza projects and services.
Proven ability of training groups and communicating complex ideas.
Ability to engage & work effectively with voluntary, private & statutory agencies.
Excellent inter-personal & communication skills, both written & verbal, including negotiation, and influencing skills.
Excellent organisational skills, including ability to prioritise and meet agreed deadlines.
Proven ability working with and communicating issues surrounding data protection. / Knowledge and understanding of the careers/employment sector strategiesboth at local and national level.
Experience of involving service usersin the design, delivery & evaluation of the MI function.
Competent user of software packages including Microsoft Office, and Excel.
Advanced numeracy and literacy skills.
Experience of liaising with and performance managing database suppliers
