Job Title / Membership, Social Media & Information Officer
Reports To / Line Manager
Job Purpose /
  1. To be the main point of contact for membership database-related queries.
  2. To support the Line Manager in the day to day management of the social media and website function and provide cover for these activities in his absence.

Working Relationships / Internal
All staff within the charity, Trustees, Council and other Members as appropriate
External
Enquirers, prospective members, donors, funding bodies and other callers/contacts.
Additional Information / Occasional evening and weekend working and travel will be required

Job Description – Key Responsibilities and Tasks

  • Maintaining and updating the membership database (including managing the direct debit function and BACS updates). Ensuring the correct address data is entered by using Sartori Capture.
  • Create appropriate mailing lists and mail merge files for member communications via post and liase with ONEPOST
  • Provide regular membership reports to the Regional Support Groups and Staff
  • Work closely with the Line Manager to cover LUPUS UK’s social media including;
  • Producing engaging content to share through the various channels
  • Maintain the social media channels and website to ensure high quality and performance
  • Respond to a wide range of enquiries from members, fundraisers and supporters
  • Moderate the online communities to protect people from spam, abuse and unqualified ‘medical’ advice
  • Provide information for enquiries relating to disability benefits and sign-post to relevant advice agencies where needed
  • The job holder is required to follow and comply with all policies and procedures of LUPUS UK which includes the Charity’s Health and Safety procedures in the workplace, ensuring personal safety and the safeguarding of the interests and safety of all staff, visitors, and others at the Charity

Person Specification and Requirements of the job
Knowledge /
  • Familiarity with LUPUS UK and its ethos
  • Some experience of database administration
  • Good working knowledge of Microsoft Office applications, including Word and Excel – able to sort data, format letters and mail merge
  • Experience working within a team
  • Experience of dealing with customers/clients
  • Experience of managing social media for a charity/company/organisation/brand
  • Desirable: Experience moderating and administering a forum
  • Desirable: Experience of working within a charity

Skills /
  • Organised, with strong administrative skills
  • Numerate and literate with a good attention to detail, able to identify and correct errors
  • Able to work quickly and accurately under pressure and able to prioritise

SALARY / £22,000 per annum pro rata
LOCATION / St James House, Eastern Road, Romford, Essex, RM1 3NH
HOURS OF WORK / The position is part-time 20 to 25 hours per week Monday to Friday (exact timings to be agreed). Occasional evening and weekend working will also be required.
CONTRACT / Permanent
PROBATIONARY PERIOD / The Charity has a standard probationary period of six months for all employees.
LEAVE / The annual leave entitlement for this position is 20 days per calendar year pro rata(3 days to be taken during Christmas/New Year period) rising by 1 day each year to 25 days after 5 year’s service. Public holidays are additional to the annual leave.
NOTICE PERIOD / The notice period during the probationary period is one week. Following successful completion of the probationary period, notice required is one week during the first two years of employment, rising by one week for each completed year thereafter to a maximum of twelve weeks after twelve years of continuous employment, from either the employee or the Charity.
