TITLE: Assistant Manager DEPARTMENT: Store Management

STATUS: FT, Manager, At-Will, Hourly or Salaried REPORTS TO: Store Manager

JOB SUMMARY: To ensure the highest level of service possible to Outpost’s internal and external customers. To develop skills and experience needed to take on the position of store manager. Assist the store manager in managing the operations of the store, including but not limited to: building and equipment maintenance, store security, employee and shopper safety, and merchandising and store conditioning.

WORK ENVIRONMENT: Fast paced retail floor and office environment. Work near moving mechanical parts (i.e. baler, dock equipment), in high precarious places (i.e. ladder work, roof), and in cold/hot climate conditions. Ability to work in moderate and loud noise environments including, but not limited to: computers, paging, telephones, human voices, and machinery. Occasional job related travel within metro Milwaukee area. Position requires working during busy retail times, which include weekends, afternoons, and evenings.

ESSENTIAL DUTIES AND RESPONSIBILITES:

1. Customer Service

a.  Treat people fairly, consistently, and with respect.

b.  Ensure efficient, informative, and friendly service according to established customer service vision and standards.

2. Assistant Store Manager Responsibilities

Leadership

a.  Model supportive and participatory leadership qualities, promote team building and motivate staff to achieve their stated objectives.

b.  Treat staff and managers with consistency and fairness, in a style appropriate to a cooperative work environment.

c.  Ensure that communications are clear, direct, and respectful.

d.  Ensure the integrity of Outpost’s stated values in decision-making and interactions with others.

e.  Use the interest-based problem solving method to resolve issues

f.  Ensure professional and friendly service from all staff.

g.  Act as a model to all employees following both the union contract and employee handbook.

Store Operations

a.  Work on a day-to-day basis with store manager to ensure smooth flow of store operations.

b.  Work MOD shifts as scheduled, with focus on total store operations.

c.  Ensure day-part store conditioning is done in all departments and all aspects of store walk conditioning are in place during all shifts.

d.  Arrange for coverage of vacant shifts as necessary and develop a back-up coverage plan.

e.  Ensure store work schedule is completed and posted every Thursday in all departments, including MOD, CORE 4, responsible beverage person and restaurant licensed staff person on all shifts.

f.  Review employee attendance logs weekly and report to department managers if employee has exceeded personal or vacation days or if discipline is required.

g.  Provide support where and when needed depending on daily demand and need of store.

h.  In coordination with store manager(s), develop efficient and effective store opening and closing procedures.

i.  Enforce store policies and procedures in a firm and fair manner. Discipline store staff according to established policies when necessary.

j.  Interpret and enforce all conditions of employment with employees in the labor union.

k.  Maintain supply of Outpost staff wear, petty cash box, coffee cards, and stamps. Assist in purchasing office supplies.

l.  Ensure compliance with all applicable laws: business licenses, permits, health regulations, security, etc.

m.  Meet with department manager team quarterly on improvements in customer service, out of stocks, department appearance, and other operational matters from data gleaned from CCL and OOPS logs.

n.  Assist with quarterly inventories and shelf resets as needed.

Merchandising

a.  Ensure fresh focus, end-cap and promotional area displays are built according to plan-o-gram with appropriate signage and props, and maintained throughout the selling period.

b.  Work with department managers to resolve merchandising issues in their departments, according to the standards and guidelines for brand compliance.

c.  Coordinate the timely display and removal of seasonal decorations.

d.  Coordinate the timely display and removal of monthly promotional posters and related signage.

e.  Work with department managers to cross-merchandise product where appropriate.

f.  Coordinate the display and upkeep of store signage systems (regional/local, info signs, etc.) ensuring they are produced and displayed according to the standards and guidelines for brand compliance.

g.  Ensure sign formats and templates are being produced and displayed in all departments according to established brand standards and guidelines.

h.  Oversee food ambassadors making sure they are following demo guidelines and are abiding by all applicable health department rules.

Store Safety & Security

a.  Ensure safety, sanitation, and security practices are in place and properly adhered to.

b.  Ensure that all staff are aware of security, safety, and emergency procedures and know what to do in an emergency situation.

c.  Refill first aid kits and check flashlight batteries bi-monthly.

d.  Conduct SSS training for new employees during orientation week.

e.  Ensure departments are following through with department specific safety, sanitation and security training with new employees.

f.  Participate in safety committee; attend regular meetings.

g.  Hold quarterly fire drills and keep records of dates and times drills performed.

Store Maintenance

a.  With maintenance staff and department managers, ensure store and outside areas are in clean, orderly, conditions at all times and meet Health Department standards.

b.  Supervise store maintenance staff to maintain store cleanliness and appearance, at all times. Coordinate special maintenance projects for maintenance staff.

c.  Work with all departments to create effective SOP’s to reduce solid waste and increase store recycling.

d.  Order maintenance and break room supplies as needed through approved vendors.

Personnel

a.  Develop and uphold performance standards for all maintenance and food ambassador staff.

b.  Schedule maintenance and demo staff according to weekly labor budget and quarterly cost of labor. Arrange for coverage of vacant shifts and fill in as needed.

c.  Hire qualified staff within established policies.

d.  Ensure training for direct reports. Successfully complete training checklists with new staff.

e.  Motivate and provide staff with the tools and materials required to ensure high quality and efficient job performance.

f.  Provide timely, thorough and thoughtful performance feedback to direct reports.

g.  Take corrective counseling measures and/or disciplinary action as needed for staff, according to established personnel policies.

h.  Ensure that quarterly department meetings are conducted to maintain effective communication with staff.

Budgeting and Planning

a.  Attend management team meetings.

b.  Work with store manager to establish goals for labor.

c.  Work with store manager to develop annual operating budget, capitol budget, and equipment needs.

d.  Develop annual labor budget according to established productivity, labor, and cost goals.

3. All Staff Duties

a.  Abide by all Co-op policies and procedures as outlined in the Employee Handbook and other company documents.

b.  Keep store/office orderly and clean.

c.  Maintain a positive attitude.

d.  Perform all other duties as assigned by store manager.
