JOB DESCRIPTION – Freelance Bookkeeper
Organisation: SpeakersBank Limited is a not for profit about to register as a charity. It is a growing organisation with a current turnover of about £800k per annum. The majority of its income is derived from grants and primary purpose trading with membership subscriptions and small donations making up the rest.
Its vision is a confidently speaking nation. It seeks to achieve this mission primarily by facilitating increased self- confidence through delivering public speaking training to individuals and communities that might not otherwise have such opportunity. In addition, we are seeking to develop new programmes to work with volunteers in the wider speaking club communities and to develop campaigns to raise the importance and opportunities for people to develop these crucial skills further.
As an organisation we are currently training about 20,000 people per year, delivering over 1,000 workshops and utilising in the region of 50 freelance accredited Associate Trainers.

Bookkeeper
The Bookkeeper is central to our efficient operation – your financial acumen
and attention to detail will help us run successful training programmes, report to our funders and stay compliant with various reporting requirements.
You will be working in close contact with the CEO, the Trustee responsible for finance oversight and the Office Manger. In addition, with your input and support, the CEO, working with you and the accountant who produces the annual accounts, will oversee the production of the annual audit, budget, management accounts and longer term financial planning.
Contract basis:
Freelance part-time – three days a month with additional time when necessary (both to be agreed with CEO).
9.30 am to 5.30 pm with one hour for lunch (flexibility with agreement)
£13 - 15 ph no additional travel costs.

Function of post:
To enable the Charity to achieve its objectives by being a professional point of contact and managing the day to day bookkeeping/credit control of the office.
Main Duties and Responsibilities:
In relation to Quickbooks (or such other software package) maintaining all financial records and data accurately and within agreed systems, to include:
· Entering all transactions on our accounting software and in particular updating sales and purchase ledgers – updating to profit and loss stage and updating balance sheet.
· Processing bi-monthly a BACS payments run and maintaining accurate records of authorisation and notification to the payees.
· Managing the ‘class’ system to produce grant reports.
· To undertake bi-monthly reconciliations of our main bank account and monthly reconciliations of our other deposit account.
· Filing of all accounting documentation.
· Paying the monthly salaries (4 staff) and related Inland Revenue and pension payments liaising with external agents as required.
· Preparing and posting the monthly salaries journal. Reconciling the payroll nominal ledger accounts.
· Responding to relevant telephone, post and email enquiries.
· Maintaining the purchase ledger - entering suppliers’ invoices on the system and, with the support of the Office Manager, ensuring that they are properly authorised, preparing cheques at the appropriate time, arranging signature.
Helping the Office Manger control all outstanding invoices and ensuring prompt payment and to support the credit control (including reduction of backlog of outstanding debtors).

Person Specification:
Evidenced achievements e.g.;
· Bookkeeping Qualification or equivalent
· Typing/Word Processing
· Trained in QuickBooks accounting package and ideally SAGE
Experience
· Experience of working in a Charitable Organisation and ideally understanding of Charity financial management
· Knowledge of Microsoft Office & QuickBooks (version QB Regular 2006) accounts experience
· Knowledge and use of SAGE importing information from the internet (something we are considering but not crucial at his stage).
