Job Description: Data Assistant

Job Title: Data Assistant & Systems SupportYour Manager: Helen Wayman, Finance & Data Manager

We are recruiting for a new full-time support role to work with our existing Finance & Data team here in our lively Vauxhall office. You will be responsible for client reporting, system and database maintenance and dealing with client enquiries. The ideal candidate will be accurate, have a keen eye for detail and be pro-active in dealing with other members of the team. Key Objectives

  1. To ensure that weekly and monthly client reporting is completed accurately and within deadline.
  2. To produce market data and client presentations accurately on a monthly/ad-hoc basis.
  3. To provide database input and maintenance, system support for all members of the team,and system testing.
  4. Timely execution of data requests and administrative support to the office team by effectively managing initialclient enquiries.

Main Activities:

The main activities of your role:

  1. Client reporting

Using data from the Serve Legal system, produce accurate and timely reports for each client on a weekly/monthly/ad-hoc basis.

Analyse data from different periods to create client review meeting presentations for client managers.

Produce monthly market data reports.

To devise improvements to the reporting Serve Legal offers its clients, and implement them (with the approval of your Line Manager).

  1. System support

Manage the changes@ mailbox for system amends and update as required (forwarding any queries which are for another team member).

To use the system to resolve internal queries from members of the wider team.

Add new orders and visits to the system.

Setting up new users on the system.

Maintain databases to ensure we keep accurate and up to date information on client programs, orders and reporting.

Liaise directly with other members of the team to ensure all relevant process is followed and maintained.

  1. System Development

To assist the Systems Administrator with developing our internal web-based systems.

Including idea capture, development and testing.

  1. Team Support

Deal with any internal support requests and process any required paperwork.

Attending AM meetings on a rolling basis with the other members of the F&D team.

Other administrative support as requested from members of the business.

Internal auditing to ensure all relevant paperwork is kept and up to date.

Assist the F&D Manager with ISO27001.

Line of report: You will work within the Finance & Data team and report to the Finance & Data Manager.

General Administration: Pay is monthly, in arrears. Holiday entitlement is 20 days (plus Bank Holidays), requests must be submitted to your Line Manager at least one calendar month prior to any leave. See policy and procedure documents for more information.

Hours: This is a full-time, office based role, however, there is a possibility to start part-time whilst training, moving to full-time after 2-3 months. Working hours are9.00-5.30pm. It is expected that you will respond positively to requests for working outside these hours.
