Mothers Chapter Meeting

September 8, 2013

Call to Order

The meeting was called to order by President, Stephanie Coard at 3:11 p.m., followed by the Jack and Jill Hymn.

Inspiration

The inspiration was given by Chaplain, Idella Johnson.

Adoption of the Agenda

Motion: Adrienne Lumpkin moved to adopt the agenda as written. The motion carried.

Meeting Minutes

Motion: Shelley Watson moved to accept the meeting minutes as written. The motion carried.

Officers’ Reports

President – Report given by Stephanie Coard

The following was highlighted:

  • Goals – The goals for the year were reiterated. It was noted that all committees need to work effectively and efficiently and members were asked to think about not only what they are interested in doing, but also what they do well. Chairs should be supported in their role and were encouraged to use their committee members to ensure that the committee functions properly.
  • Meeting Venue – A special thank you was extended to Shelley Willingham-Hinton for securing the meeting venue free of charge.
  • Handbook Committee – It was noted that the committee would be taking headshots for the chapter handbook after the close of the meeting. Members that had not had a headshot taken were encouraged to do so after the meeting.
  • Bylaws – The chapter is currently in violation of its bylaws with respect to the children’s age group classifications. The goal is to bring the chapter in sync with the bylaws in an effort to distinguish what is listed in the chapter bylaws vs. what is viewed as a Raleigh-Wake practice.
  • Presidents’ Call – The theme for the region is Building Unity, Inspiring Leadership Development. The following updates were provided:
  • MIS System – The MIS system is being updated and upgraded. A new MIS system will be in place by the end of September.
  • Cluster Updates – The region is combining the NC and SC Clusters to be held October 19 in Spartanburg, SC. Combining the two clusters will help the region stay in the black in terms of Cluster activity. The VA Cluster will be held on November 2. Registration will open at the end of the week.
  • Regional Parliamentarian – Regional Director Williams is seeking recommendations for a Regional Parliamentarian.
  • Teen Conference – Will be held in Raleigh, NC. Venues have been visited and the conference will be held either June 19 – 22 or June 26 – 29. There will be an oratorical contest and the theme is “Ignite the Flame Within; Ignite, Arise and Shine Forth”

Vice President – Report given by Ife Mitchell-Parks

The following was highlighted:

  • Membership Intake Update – As of August 31, 31 potential candidate names were submitted. Candidates were contacted and asked to reply with their interest by midnight, September 6. As of that date, the numbers were as follows:
  • Total Moms = 26
  • Pre-school – 13 children (13 mothers have 13 preschoolers)
  • Lower El – 6 children
  • Upper El – 9 children
  • Jr. Teens – 7 children
  • Teens – 5 children

Applications will go out next week with confirmed receipts and candidates will have 30 days to respond. Age Group Chairs were asked to provide open events for perspective mothers and copy Ife on the activity invitation. Ife will manage the candidate’s RSVPs. A timeline for the intake process has been set. In order for members to vote, they must attend one of the identified membership intake functions.

  • December 8 – Informational tea from 12:00 p.m.- 4:00 pm. Membership intake function
  • January Meeting – Membership intake function
  • February Meeting – Sponsors introduce their candidates
  • March Meeting – Membership vote
  • April 16 – Orientation; membership committee only
  • May 4 – Intake ceremony
  • Introduction of Transfer Mother – Wendy Summers from Dallas Ft. Worth / Mid Cities chapter. Lives in Wake Forest and has a son in the Teen Group.

Financial Secretary – Report given by Rayna Barnes

Members were reminded to send payments via check, money order or certified check. Payments are accepted at chapter meetings and via the P.O. Box.

Treasurer – Report given by Cynthia Johnson

Balances in the various accounts were highlighted and reviewed. A review of the budget was conducted. The budget was developed based on 70 active mothers. It was also noted that the chapter is looking to conduct intake of up to 16 additional mothers. A review of the new mother’s fees associated with intake was discussed. Newly initiated mothers will pay $1,018.

Motion: Idella Johnson moved that we accept the budget presented from the committee with the modification of age group numbers after the financials are updated. The motion carried.

Corresponding Secretary – Report given by Susan Taylor

The following update was given:

  • Technology Chairs – Shelly Watson and Erika Stewart will serve as the Technology Chairs. Susan Taylor will continue to play a role on the committee.

Program – Report given by Thea Horton

The following information was highlighted:

  • Program committee members and age group chairs were acknowledged.
  • Vouchers for expenses can be found on line.
  • A list of chapter programming activities has been received. The chapter retreat was conducted in August and Bridgette Wilson was acknowledged for securing the facility free of charge.
  • Jack and Hill 5K Run / Jack and Jill Day was noted as an upcoming event.
  • Carole Robertson Day – Event will be held September 28 from 10:00 a.m. – 2:00 p.m. at Marbles Museum. The RSVP has been sent and members were requested to RSVP as soon as possible. There will be two speakers: Attn. Irving Joyner and Janice Guess (authored a book about her experiences integrating Brogdon school). The close date for the RSVP is September 15.
  • Thanksgiving Dinner – Event will be held November 17 from 3:00 p.m. – 6:00 p.m. at Brier Creek Country Club. The RSVP will be sent three weeks prior to the event and October 17 is the cutoff date. Members will be financially responsible for this event and costs are approx. $35 per person.
  • The Committee sign up sheets are available for review.
  • Age Group Activities – The invitation for age group activities should be sent at least two weeks prior to the event so that mothers can plan accordingly. The activity report should be submitted no later than 7 days after the event.

  • Founders Day – January 11; Five point Center in Raleigh
  • National Black Family Day – May 17; 12:00 p.m. – 4:00 p.m.; Sandling Beach

Committee Reports

Legislative – Report given by Adrienne Lumpkin

Members were reminded of the upcoming October 8 elections which include Mayoral races in Raleigh and Cary. Members were encouraged to find out who is running for city council as well as those in the mayoral and school board races. Handouts were available and will also be sent via email.

Jack and Jill Up The Hill 5K Race – Report given by Karen Jackson and Shontera Gillespie-Coleman

Updates regarding the race were provided. Members were encouraged to support the event through registration even if they are unable to attend. The registration URL is

Education – Report given by Virginia James

Committee members were recognized and the following programs were discussed:

  • Leadership In Action – The goal of this program is to give students with a particular area of interest exposure to day to day operations, as well as introduce the children to the working world. This experience will provide a positive experience to the children and demonstrate the link between the value or education and success. The committee is looking for volunteers in the fields of education, science, medicine, law and corporate/business. The dates will be April 21-25 and will coincide with Take Your Kids to Work week. The recommended ages for the program are 8 – 18 and the committee is targeting 15 – 20 participants. Selection will be on a first come, first serve basis. The timeline is as follows:
  • September – Reach out to parents; recruit shadowees
  • October – Send out sign up genius
  • November – Finalize the selection process; matching with shadowers
  • February – Conduct meeting with shadowers and parents of children
  • March – Meeting with shadowees to discuss expectations
  • April – Shadowing activity with mandatory luncheon
  • Promoting Excellence Series – Spearheaded by Dana Davis. There will be two panel discussions: (1) public vs. private education; (2) difference in educating African American boys vs. girls.

Associates Group – There are approx. 6 members of the Associates Group. There will be an installation and luncheon in the October timeframe. There will be a cost for chapter members; no cost for associates. Members are encouraged to attend.

Age Group Announcements

  • Upper Elementary and Junior Teens – Members were reminded to send in their medical and photo release forms electronically.
  • Preschool – Members were reminded to register their children for the Fun Run.

Jill Sessions

The concept of the Jill Session – an open discussion time at the close of the meeting – was introduced. This would not be a session at every meeting and is not a mandated activity. Members were strongly encouraged to participate as a way to share their thoughts and feelings around chapter / organizational issues off the record.
