Questions:

Question 1: There are 6 deliverables to be made on various due dates. Do we have to tender for all 6 deliverables or is it allowable to tender only a few?

Answer: You may submit a proposal for part of the work only.

Question 2: In orderto work out the radiation mapping we need to know the complexity of the radiation source(s) geometry. Can you please provide this information?

Answer: The definition of radiation sources have already been done and would merely be copied in the undertaking of this task. Therefore the complexity of sources is not an issue. All the necessary information will be supplied when the work needs to be carried out.

Question 3: In section 8 Quality Assurance requirements of the specification ITER_D_B6X54H, there are some 'links' to quality documentation which do not work.

Answer: IO apologises for the inconvenience. Those documents are to describe certain Quality and other related procedures, which are in line with international standards. It is not specifically required at this stage and will be provided before the contract is signed. What is important now is that the contractor has a Quality Assurance program, either accredited to ISO 9001 or IO approved.

Question 4: The final page of the technical specification section 9 of ITER_D_B6X54H has a list of references and papers listed. We would like to obtain copies of these documents to help understand the work and assist with our tender preparations.

Answer: The documents referred to in the technical specification can be obtained through the link below, with the exception of Reference 2 which is an open publication and Reference 1 and 9 which are not required at this stage.

Question 5: We feel that the Statement of Exclusivity and Availability form (Call for Expertise IO/12/7490/CFE) is not appropriate for this particular project as the Contractor has been requested to provide fixed prices against deliverables rather than provide an individual at a daily rate (which is the normal practice for a call for expertise). Could you please confirm that we do not have to complete this form on this occasion?.

Answer: It is correct that the Statement of Exclusivity and Availability form is not specifically relevant to this requirement. There is no need to complete it.

Question 6: On the last page of the specification ITER_D_B6X54H, section 9, there is reference to MCAM- CAD to MCNP translation tool developed by ASIPP, China. Could this software tool be made available for use on the project?

Answer: MCAM is freely available from ASIPP. ITER cannot supply this software. It is used to convert CAD geometry to a form suitable for the radiation transport code MCNP. Other conversion codes also exist. Tenderers can propose any suitable method for the conversion. If someone came and worked at ITER they could use the IO copy of MCAM.

Question 7: Can the financial proposal template be altered to include a breakdown of deliverables?

Answer: Yes. The technical specification, in numerous places, calls for a review of existing data. Should this data be found to be inaccurate or insufficient (in an objective review, the result thereof agreed by IO), the contractor will be required to carry out a new analysis. Such a study could potentially carry an additional cost and it should be clearly reflected in your proposal.

It is important to remember that the financial proposal should include all costs, fixed or potential, but each should be clearly indicated together with specific conditions, where appropriate. You may therefore amend the template to suit your proposal. You may also provide a breakdown of each deliverable into specific tasks and a cost against each task.

Based on the above, the delivery times should be amended accordingly.
