Job description – Member ServicesOfficer

Job Purpose:To help ensure, as part ofMemberServices, the smooth day-to-day running of the Member Services function, on behalf of the Chief Executive, Management Team and IIRSM Board of Directors, in line with the standard terms and conditions of employment, the terms ofthe IIRSM’s code of ethics and its health, safety and environmental policy.

Responsible to:The Director of Operations.

Internal relationships:The Member ServicesOfficer will work as part of the Member Services Team and liaise with all other departments as and when required.

External relationships:The Member ServicesOfficer will represent IIRSM in its best light to prospective, current and lapsed or cancelled members as well as outside organisations.

Principal duties and responsibilities:

The Member Services Officer has a general responsibility to keep up-to-date with IIRSM news that affects members as many of the queries received will relate to member services rather than just membership administration. This general information will be provided through a number of sources internally as well as through the website.

Specific, to include:

  • ensuring that all information in Vision is kept up-to-date;
  • processing new members, renewals and upgrades ensuring fluent communication with members and non-members alike;
  • processing and banking all memberservicespayments (bacs cheque, cash, credit card or direct debit), ensuring payments are entered into Vision and the cash book;
  • weekly reconciliations;
  • answering member services queries, including those relating to IIRSM products and services in addition to membership queries, received by post, email, fax or telephone and issuing information packs;
  • ensuring all membership filing is kept up-to-date;
  • assisting on exhibition stands or at company receptions or conferences as and when necessary (may include an overnight stay); and
  • ensuring that the Senior Member Services Officeris aware of any issues needing his / her attention.
  • generating new business leads and following up info pack leads, liaising with the Marketing & Events Executive as and when required;
  • maintaining regular contact with IIRSM members, in particular new members;
  • targeting cancelled members with a view to them re-joining; and
  • processing incoming and outgoing IIRSM post (including opening, date stamping and franking post).

General, to include:

  • occasional participation (to cover holidays / sickness or during periods of high volume of workload) in the production of all regular data production for monthly fulfilment of subscriptions / receipts / new member packs / IIRSM Newsletter mailings;
  • occasional participation(to cover holidays / sickness or during periods of high volume of workload) in the production of all other regular data production including, but not limited to, Sypol data, HSW data, Hall Associates data, NEBOSH free student data, etc;
  • provide general administrative support to the business as and when required by the Chief Executive and Management Team, working with other departments when necessary, to ensure that all administrative tasks including periodic mail merges, running queries, petty cash, banking and post are supported.
  • basic book-keeping as and when needed.

Person specification:

Essential:

  • You must be a goodface-to-face and telephone communicator with good written and spoken English.
  • You must be mature in outlook and understand the importance of maintaining good customer relations.
  • You must be numerate with good attention to detail
  • You must have good organisational abilities and be able to plan and prioritise your work to ensure that all activities are completed within required time scales and according to the published rota.
  • You must be team orientated but able to use your own initiative when necessary;
  • You must have good keyboard skills and be computer literate with experience of using Microsoft Office.
  • You must be co-operative, pleasant and accustomed to making regular simple reports to management as well as capable of seeking guidance when needed.

Desirable:

  • A flexible approach to fit with changing conditions, tasks, responsibilities or people as well as an understanding of the pressures of the not-for-profit sector.
  • Some experience of book-keeping
  • Some further knowledge of the full MS Office Suite could be advantageous.
  • Experience, either in a voluntary or employed capacity, in a membership based organisation would be helpful.

Salary:£22,500

Hours:09:00 to 17:00 with one hour for lunch
