JOB DESCRIPTION
POSITION TITLE: Recreation, Exercise Science and Athletics (RESA) Dept. Coordinator
REPORTS TO: Exercise Science Department Chair, Athletic Director &
Director of Recreation
PRIMARY FUNCTION: Facilitate the administrative duties for the RESA offices and coordinate equipment/laundry room services for Skoglund equipment room.
AREAS OF RESPONSIBILITY: % of time
Department Office – Athletics 40%
* Welcome and assist visitors: greet student recruits
* Internal/external communications: Communicate department events/information to students, parents, alumni and general public; first point of contact for questions/information (academic and athletic) for the departments.
* Organize, maintain, and update department files
* Purchase office supplies/office equipment/ office needs
* Collect and disperse mail, books, videos
* Maintain office equipment
* Assist with the hosting of athletic home events/contests
* Manage concession stand sales for all home athletic competitions and MIAC/NCAA events
* Hire, train and schedule student worker help for athletic contests and concession stand sales
* Process various written correspondence and copy requests
Coordinate the Skoglund Equipment/Laundry Room 20%
* Daily: oversee and ensure laundry needs are met for athletic teams-practice wear and team uniforms
* Keep laundry and equipment rooms clean and organized
* Assign, train, & monitor student workers – schedule is 7 days per week
Assist the Director of Recreation –RESA 20%
* Student work coordinator
-hire and schedule student staff for the Tostrud Center (academic year and summer)
-initiate student work authorizations and maintain quality of student timesheets and email alias(s)
-update and revise student workers name list and contact information
-tracking student work budgets for academic year and summer work
-manage student scholarship stipends for student managers/student coaches
* Issue recreation (Tostrud) passes for faculty, staff, alumni, emeriti, and the Northfield community
* RESA Facility Supervisor-act as supervisor for the Tostrud Center (see job description for RESA Supervisor)
* Responsible for Tostrud Center issues in the absence of RESA Director (while she is teaching, accompanying interim trips, or summer faculty break)
* Assist the Director of Recreation in coordinating building activities/events, committee work, conferences
* Assist in scheduling/confirming Tostrud/Skoglund Center building activities
Assist the RESA Department Chair -Exercise Science Department 10%
* Audit senior majors for certification for graduation as Exercise Science Majors
* Sign drop/add slips for students
* Coordinate enrollment numbers for Exercise Science coursework
* Evaluate and confirm Exercise Science class and lab schedule per each semester
* Manage and submit student pre-registrations list for submission to Registrar office
* Revise and proofread course catalog
* Process various coursework—revisions and copy requests
Site Management for Men’s Basketball Games (Home Events) 10%
*Hire, manage and supervise student workers-Ticket takers
*Greet and host opposing team & officials
*General troubleshooting
*Crowd management
Other Duties as assigned.
SUPERVISORY RESPONSIBILITIES: Directly supervise 200+ student workers for the RESA department. Hire, train, monitor, schedule, assign duties, set & enforce student work policies. Review and submit monthly timesheets for student workers.
CONTACTS: Faculty, staff, students, alumni, and the public.
EDUCATION: Essential: High School degree.
Desirable: College degree (BA/BS)
EXPERIENCE: Essential: 1 year administrative /office work
Desirable: 3 years administrative/office work, experience working in a similar setting.
KNOWLEDGE, SKILLS, ABILITIES:
Excellent interpersonal, excellent problem-solving/troubleshooting skills, must have strong organizational skills; ability to pay close attention to detail and prioritize; computer literacy – proficiency with Microsoft Word and Excel, e-mail and internet; ability to work with frequent interruptions; ability to independently and maintain confidentiality; interest in and empathy with students; knowledge of college organization and culture.
PHYSICAL DEMANDS: Move athletic equipment and stock concessions stand.
WORKING ENVIRONMENT: Office environment, laundry room, remote athletic facilities
WORK SCHEDULE: FTE: 1.00
Term: 12 months
Shift: Campus business hours 8 a.m. to 5 p.m.; some evening and weekend hours supervising of Skoglund equipment room and athletic events
