Installing and UsingConnected DataProtector

ColumbiaUniversity’s PC Backup Service will provide desktop backup service to schools and departments on the Morningside Campus as one component of the campus-wide effort to enhance the level of security for computer systems and data at ColumbiaUniversity.

The backup software, Connected DataProtector (CDP), will enable you to back up and retrieve individual files, folders, or your complete hard drive. It is both powerful and easy to use.

Installing the CDP Agent
System Requirements

To use CDP, you will need the following minimum system configuration:

  • Pentium processor running Windows 98, Me, 2000, and or XP
  • 32MB of RAM (on Windows 98)
  • 64MB of RAM (on Windows Me, 2000, or XP)
  • Valid Columbia University UNI and password
  • Dialup or Ethernet Connection
  • A updated web browser such as Internet Explorer, or Netscape.
Before you Begin

On your initial backup, CDP will back up your entire system. Therefore, your first backup will take several hours, depending on your connection and when you run the backup. You can continue to use your computer, but you should allow enough time for the first backup to complete. Subsequent backups, however, will take much less time to run since CDP will back up only those files you’ve added or changed since the last backup. It is recommended that you perform this backup during off-hours.

Before you run your initial backup, perform the following:

  • Run Windows Updateto ensure your computer is up-to-date on all operating system updates. Be sure to run the Update until there are no more Critical Updates available.
  • Perform a full virus scan of your entire hard drive using up-to-date virus definitions to ensure your system is free of viruses.

If you have questions about either of these two operations, you shouldspeak to your departmental IT support center.

Installing Connected DataProtector

Close all open applications.

From and select your department’s agent download Save As window, save the executable file to your desktop, and then click Save.

Open the file by double-clicking the .exe file icon. The Install window is displayed.

Click Install to start the installation process. /
Click Run in the Agent Setup window. /
In the Welcome to Registration window, make sure Register a new account option is selected, and then click Next. /
Click Next to start the Registration Wizard. /
In the Name and Address window, enter your contact information. /
If you use a personal firewall on your computer, you should accept the default settings, and click Next. /
Click Finish to complete the registration. /
Click Print Account Information to print out a hard copy record of your registration information.
The printout contains the contact information you entered, your registration number, encryption key, and instructions to re-establish your account. You will need this information to recover your system. Click Next. /
The Schedule window is displayed. Here you specify when you want to perform backups. You can accept the default recommendations or specifically select your own backup schedule. Click Next. /
Select Back up my entire disk and then click Next. /
Click Finish to end the installation of the backup agent and begin the scanning of your hard drive to determine what files will be backed up. The scan may take a few minutes if you have a large hard drive. /
When CDP has completed scanning your system, you will see a list of the files CDP will back up. There will be a green check indicating which files will be included in the backup set. You should review these these selections to ensure they reflectthe files you wish to backup . /
It is recommended that you set an account password on your Connected account. In conjunction with your encryption key, this will provide you with the greatest level of security possible.
Initiate Connected DataProtected and set an account password by going to Options -> Security and selecting Change Account Password. You will need this password before you initiate any restores. /
UsingConnected DataProtector
Click Backup Now to start your first backup. The Transfer Status Window shows the progress of your backup session. Click Details to see which files and directories are currently being backed up, the total space that has currently been backed up, and the elapsed time of the backup.
Note: The first time you backup all the files are transmitted in their entirety. Your first backup will be large and may take a long time. You should schedule this for overnite. /

When the backup has completed, a confirmation window will be displayed, showing the time that the backup completed as well as the date of the next scheduled backup.

Note: You may run backups at any time (manual backups), even if you’ve set up CDP to run automatic backups at other times.

Manual Backups

Start CDP and select the Backup View tab. CDP will scan your hard drive and automatically select files to be backed up. CDP will backup files based on pre-set rules as well as modification and creation dates. Select Explore to pickfiles to give you an Explorer style list, allowing you examine your complete set and select files for backup.

Retrieving Files

Retrieving files is very much like performing backups. You can choose to retrieve all files, selected files, or even a single file. You can also save your retrieved files to the original folder on your hard drive, or you can save them to another folder. By default, CDP retrieves the most recent version of a file, but you can retrieve older versions of backed up files (see the CDP help documentation for information on how to do this.)

There are different ways that you can retrieve files: Basic Retrieval and Heal.

Retrieving SelectedFiles and Folders
Click the Retrieve View tab. CDP lists the files from your previous backups and that are available to be retrieved.
Select the file(s) you want to retrieve by clicking the file’s check box so that a check mark appears. Each time you select files or folders you want to retrieve, the number of files you’ve selected is displayed automatically in the left pane. /

Double-click a folder in the right pane (or click once on the folder in the left pane) to display its files and subfolders. To move up one level, click this entire folder located at the top of the right pane. If you click the check box next to thisentire folder, all the files and subfolders of the folder you’re currently in will automatically be selected for retrieval.

When you select a file or folder to be retrieved, all parent folders of that file or folder will change from yellow to blue.

If you decide you don’t want to retrieve a file or folder you’ve previously selected, just click its check box again to remove the check mark. If you deselect a folder, all the files in that folder will also be deselected, and you’ll have to go into that folder and reselect any files you still want to retrieve.

If you select an entire drive, the message window shown here will be displayed.
Note: If you want to retrieve an entire drive such as your C: drive, use Heal instead of Retrieve. (See Retrieving Your Entire System for information on how to use Heal.) /
Click Retrieve Now to retrieve the selected file. By default, CDP restores your files to the original folders. Click RetrieveOptions if you first want to change how you want to save retrieved files, such as if you want to restore the selected file(s) to a different folder. /

Retrieving Your Entire System

You can recover your entire system using Heal. You may need to retrieve your entire system if you experience a system crash or if your computer becomes infected with a virus that has caused irrevocable harm to your system. Check with your local IT support center to make sure you should heal your system.

CDP enables you to restore your system either to the computer on which the drive originated or to another computer.

Note: The operating system and hardware of the computer on which you want to perform the heal must be identical to the operating system of the original computer. This includes the appropriate level of Windows Updates and Service Packs. So, for example, you must perform a Heal on a computer running Windows XP if the original computer (where your files and folders originated and from which you performed the backup) is also running Windows XP. We strongly recommend contacting your departmental IT support before starting the Heal.

Click the Heal Wizard tab.
Note: This tab will not be available if you have not already performed a Full System Backup. /
Select to heal your system using a dial-up, network, or Internet connection
Click Next. /
Select the date from which you want to heal your system. The default choice is the last successful backup date, otherwise be sure to select a date when you know your computer was last working properly.
A traffic light icon appears next to each backup date. These icons, which contain either a green, yellow, or red traffic light, represent the success level of the backup performed on the respective date. In most situations, you would select the most successful backup (the green light). /
If the backup you selected contained open files when the backup was performed, you will receive the message shown at right. (CDP does not back up files that are open during a backup session; however, CDP retains a record of that file and attempts to back up that file at a later time.)
Click OK to continue with the heal for the selected date. You can select another date or keep your current selection. /
Chose whether or not to restore all files, including data files. The default selection is to restore only the Operating System, application and configuration files. Then click Next. /
Click Finish to confirm your selections and start the Heal process. /
Use Alt+Tab to switch to any open application and exit them.
Click Continue or Cancel Heal once CDP attempts to close any applications that are still open. /
Non-Bootable System Repair

If your computer is non-bootable, you can use Heal to return your system to a previous working configuration. You should contact your departmental IT support for assistance.

Note: Heal will only work if the identical hardware and operating system is available (including Service Packs) on the machine being repaired as was originally backed up.

Install the CDP Agent (your IT administrator can make this available to you). Select Restore and This is a current account. You will need your Data Encryption Key and your Account Password. If you do not have this key, your IT administrator can provide it to you.

Start CDP, Click,the Heal Wizard tab and then click Start Heal Wizard and follow the retrieval directions outlined in the section above.

Viewing the Log

The log file contains a listing of each activity you’ve conducted with CDP. It contains listings for registration, password changes, backups and retrievals. You can also view the details of any listing. For example, you can view the details of a backup to find out which files were backed up and if any files could not be backed up.

Click the Log tab to display the list of log entries. /
Select an entry and then click View Details.
