The copier has the facility to send and receive fax. Please make sure that all faxes are legibly addressed with the first and last name of the intended recipient. If the fax is not addressed to the intended recipient properly, it will be difficult to identify the correct recipient.

Meeting Room Booking:

You can reserve the meeting room using the meeting room reservation functions of Microsoft Outlook.

Dos and Don’ts

§  All LCD projectors, video conferencing units, and teleconferencing equipment must be turned off after the meeting to enhance the life and efficiency of the equipment.

§  All materials must be removed from the meeting rooms after use. DO NOT leave any confidential files or papers in the meeting rooms. Remember to take your laptop back from the meeting room.

§  Clean the room after your meeting. Ensure that you leave the room ready for use by other staff.

§  Be punctual and leave the room once your booking time gets over.

Cancellations: If you no longer require the meeting room that you have booked, please make sure to remove the block through Outlook.

b.  Video Conferencing Equipment:

The Chennai office has one mobile video conferencing unit placed in one of the 12-seaters meeting

room.

VC equipment IP Addresses:

In case you want to pass on the IP address to people at other offices, switch on the machine 30 minutes prior to commencement of your call. IP address will be displayed on the top right corner of your screen. Do not switch off the machine before your call gets over.

Parking:

There are 9 car parking and 25 bike parking slots in the building at different levels. Support Services team will give a DLF-issued parking sticker that employees using the parking should fix on the windshield of the car or at the body of the 2-wheeler. The parking stickers are non- transferable.

Parking users need to pay a monthly subscription of INR 1350 and INR 450 for the car and two-wheeler parking slots respectively. You need to mention this in your salary calculator, and the subscription will be deducted from your salary every month.

Cars can enter to the parking lot from the ramp located next to Tower 1C of the building. At the time of entry, security personnel will issue a token that has to be returned at the time of exit. The issuance of token is applicable only for four wheeler parking. DLF security will check your vehicle and bags, and may ask you for identification information. Please note that you cannot leave your car parked in the basement overnight.

Do’s and Don’ts:

§  Park your car in the slot allotted to you.

§  Cooperate with the building security personnel and assist them in security check at the time of entering and leaving the building complex.

§  Check your car before leaving it in the parking area and ensure that it is properly locked.

§  Report any misbehavior by security personnel/ drivers to Support services.

§  Female staff leaving office late in the evening can ask the CEB security guard to accompany them to their car.

§  Do not leave any valuables in your car.

§  Never park your car in a slot allotted to someone else. In the event you do not get access to your slots because of someone else mistakes/construction activities, bring that to Support Services notice. We will make alternate arrangements for you for that day.

Visitor’s Parking:

There is no visitor parking slots inside the DLF IT space.
Mail and Stationery Items

Mail:

Mail Drop-Off Points—all official, outgoing mails should be deposited at the reception desk by 3:00 p.m.

Inbound Mail—all inbound mails are received at the reception desk. Security guard distributes these between 4:00 and 5:00 p.m. All confidential mails such as your cheque book, account information, credit card etc. will be collected by you personally from the mailman.

Stationery Items:

Standard stationery items are stacked at the two locations in the office: near the MFD printer, and in the reprographic area next to the server room.

Please forward your request to support services should you require any special items. We will require your manager approval for all such purchases.

2.  Cafeteria

Facilities provided in the cafeteria;

The lunch timings in the cafeteria will be from 12:30 pm- 2:00 pm. The cafeteria can accommodate up to 18 people (seated) at any given time. We have made provision for basic cutlery, microwave oven, and a refrigerator.

Tea/Coffee Machines

We have made provision for a coffee dispensing machine in the cafeteria for staff use.

Television

We have also installed a TV screen with the cable connection for staff entertainment.

If you want to order something other than the standard office supply, write an e-mail to the Support Services team. Please note that the cost of the item will be charged directly to your practice.

Printer Pathing

§  Click on the Start menu at your computer and then click Run

§  Type the following server path \\10.72.52.21 and click OK

§  Click on the printer to add

§  When prompted, respond Yes to allow the installation of the printer

§  The printer is installed and ready to use

Submit a Service Centre ticket in case you Experience any problem with the functioning of the printers / copiers.
