IMPORTANT RPS INFORMATION

In preparation for the new fiscal year2014-2015, please read the information below which can assist in planning for submitting new RPS’s. If you have questions please contact your Human Resources Analyst.

FY 2013-2014

If you have any HR or payroll items for fiscal year 2013-2014 that you have not yet processed, please do so now. Requests for personnel services (RPSs) and requests for special services employment ("assignments") for any work that employees have performed or will perform prior toJune 30thmust be completed now.

FY 2014-2015
(07-01-14~06-30-15)
Requests for personnel services (RPSs) for work that employees will be performing startingJuly 1stcan be submitted afterJune 10th, 2014. To avoid delays in pay, please submit RPSs for the new fiscal year no later thanJune20thto allow time for the RPS to be approved by all required approvers. Remember that MCCCD and MCC policy requires that the RPS has been approved through all approval levels and that the job appears in the Department Chair/Supervisor’s Time & Labor page in HRMSBEFOREthe employee begins working.

*Employee and Managers responsible for anyone going over 25hrs during non-peak times.

*Emails will be generated to notify based on the level of offense.

*Peak times (youdo notneed to create a new RPS during Peak times)

*Adjuncts cannot utilize peak time.

*Please include 1% raise for returning temporary employees.

When a part time employee exceeds the weekly hours limit, a process will run that will generate the emails after each payroll cycle is confirmed.

Based on the number of offenses, the emails will be sent as a Level 1, Level 2 or Level 3.

Based on the level of offense, emails will be sent to the following:

Each email will list the Dates for the offending week, the Total Hours the employee worked that week, the Weekly Hours Limit that was set for that week and the Employee ID and Name. If the employee works in multiple departments, each supervisor will receive the email alert.

“Peak” Week Definition – A week during seasonal busy periods in which managers may schedule Part Time employees for up to 40 hours.

Special Note:An additional Job Hire Document (RPS) does not need to be created for “Peak” weeks if an active Job Hire Document is in place.
