Passenger Terminal CONFERENCE -IMPORTANT INFORMATION – Please read through carefully

The conference will run on a pre-loaded basis. We will supply all of the necessary hardware, load and run your presentation from our own equipment.

  • Please try not to cover too much in your presentation or on your slides - choose one or two aspects and cover them thoroughly from start to finish.
  • Please use bullet points as your notes to keep you on track throughout your presentation – they're preferable to you using a scripted presentation which can sound monotone.
  • Your chosen topic should be a combination of theoretical methods and ideas, practical solutions and applications and real-world case studies

Presentation Specifications:

  • Please supply us with a presentation created in Microsoft Office PowerPoint® (saved in PC format) –30 SLIDES MAXIMUM.
  • The slides should be created in “ON-SCREEN SHOW(16:9)” WIDESCREENformat.
  • The resolution should not exceed1280 x 720 pixels.
  • Movie files: Movie files fully compatible with Microsoft PowerPoint are MPEG or WMV files ONLY. We are unable to work in other formats.
  • Fonts: You mustprovide any non-standard fonts used in your presentation as .TTF files. Failure to do so may mean your presentation will not display correctly on our hardware. The minimum font size to be used on your slides must be equivalent to 16 point (size) Arial (font).
  • Please include on your first slideyour name, job title and company.

Duration of presentation: Your presentation time includes 5 minutes for a few questions and speaker change-over. PLEASE practice your presentation to keep to your length of scheduled time (very important). Please be present for the entire session in which you will speak and we ask you to report to the room 20 minutes prior to your session beginning to introduce yourself to the moderator. You are most welcome to be part of the audience for all of the other sessions.

Equipment provided: PC laptop (with your presentation pre-loaded onto it), a digital light projector (data beamer), projection screen, feedback (comfort) monitor, sound, lighting, microphones (fixed and lapel) and slide forwarder (clicker) with laser pointer.

On-site testing:We recommend that you check your presentation material with our on-site technician the day before your scheduled speaking slot. I would emphasis that this is a final opportunity to check that we have the right version and it works correctly rather than to make any amendments to the presentation. We cannot guarantee to make any amendments on the actual day of your presentation. By then the session file would have been created and loaded and the laptop already installed in the conference room.

Delivery of your presentation:

You will receive an email from Debbie Cunnington - the email will be from UKIPME Transfer Service () - please look out for this email - with instructions on how to send us your presentation file(s) using our company presentation file transfer system.

  • By email (up to 25mb if YOUR server will allow)to
  • By large file transfer websiteYou can use any large file transfer website, eg: Hightail, Wetransfer, Dropbox and email Debbie Cunnington the details to download
  • PLEASE DO NOT put a password on your presentation.
  • ALL files/folders MUST be saved in the SPEAKERS NAME (First name_Last name) so that we can identify them.

Conference Proceedings website:

After the conferenceall PowerPoint presentations made at the conference will be made into PDF files and posted on the website for speakers and delegates to access. You will receive an email with a link to check your content. Please email ONLY if there are any amendments needed or if you do NOT want your presentation to be included. The website could take up to four weeks to be ready after the conference. Upon completion you will receive a website address and password for future access.

NOTES:

  • The language will be English
  • No personal/company laptops are used in the conference – ONLY ours
  • All presentations are pre-loaded onto our PCs and checked for viruses, corruption and content
  • Practice your presentation to keep to time
  • Time/day/session changes may occur during the initial months of conference programme production
  • If there is a change of speaker, please inform Janet Padgham () immediately
  • You must ensure that you can obtain proof of permission to use all elements of your presentation, i.e: images, music, video

Because of the way in which a small number of people have previously conducted themselves at the conference, unfortunately this note has become necessary.
