Primary Function:

Under general supervision, performs secretarial work in support of the IESBVI Consultants, such as composing routine correspondence, maintaining records, and obtaining and providing factual information requiring knowledge of the policies and procedures of both the assigned and related work areas. Assists Regional Directors with the facilitation of professional development for IESBVI staff. Duties involve the use of personal computers and a variety of software and conventional office equipment.

Reports to:Regional Director

Typical Duties and Responsibilities:

  1. Provides general clerical support to IESBVI Consultants, including written correspondence, preparation of PowerPoint presentations, copying, printing, and other duties as necessary
  2. Organizes and attends monthly consultant meetings in person or remotely, takes minutes and provides other clerical assistance as needed.
  3. Assists with data collection, data entry into student vision database (i.e. CRM) and report preparation
  4. Supports Regional Directorswith the preparation and facilitation of professional development activities for agency staff, including data collection, surveys, and standards of practice documentation
  5. Assists with professional development planning, including preparation of the proposal cost summaries, course proposals (e.g. ACVREP), follow-up on timelinesand attends Fall Vision Conference
  6. Assists with otherconferences and workshopsrelated to professional development(e.g. POSB Math/Science Institute)
  7. Supports Low Vision Clinic by scheduling student appointments, maintaining statewide services database, facilitating general correspondence with parents, and preparing materials and reports
  8. Initiates and processes standard forms and documents such as purchase orders, travel requests, consultant need templates and mileage logs.

  1. Knowledge of office routines
  2. Knowledge of institutional and unit policies, processes and forms.
  3. Knowledge of proper format, grammar, spelling, punctuation, and capitalization.
  4. Skill in utilizing computer software and online systems.
  5. Skill in operating office equipment.
  6. Ability to communicate effectively with staff, students, and the public.
  7. Ability to follow oral and written instructions and apply institutional and policies accurately.
  8. Ability to collect data, keep records, and prepare reports.
  9. Ability to exercise functional supervision over employees.
  10. Ability to organize and prioritize multiple tasks.

Minimum Qualifications:

Any combination of related clerical office experience, related undergraduate education and/or post high school clerical training that is the equivalent to two years of full-time employment and includes the use of word processing required.Experience working in an education setting preferred.
