SPECIFICATION OF MATERIALS

  1. Illuminated Token Dispensing Unit

Token Dispensers are employed to get the token printed and to register service request. This can have up to a max. of 8 feather touch keys catering to 8 different services and another key to confirm the selection of a service. The token generated can have a prefix letter to distinguish between different types of services. The token generated for different services will be put into respective logical queues. User can keep pressing different service keys and then press OK button. The dispenser unit chooses the service that was pressed just before OK button. Thus giving user a chance to correct himself if wrong service key was pressed.

  1. Master Token Display

Token Display Unit is used to display Called Token Noof the service provider and announce the Token No. in two languages predefined. The Token Display Unit is designed with 3 digits of 4” height for token and one digit 4” height for counter number along with voice module to announce both in English and a vernacular language.

  1. Token Calling Unit

The Token Calling Unit has two navigation keys 'PREV' & 'NEXT', one CALLkey, one 'RETAIN' key and a 'CLOSE' key. User can choose a Token No. by browsing through the token queue using navigation keys and then press ‘CALL’ button. This action makes the hub to announce the token no. and

show the token no. on seven segment (4" height) display along with the room no. of the service provider. After providing the service user can retain the service seeker or can close the call by pressing 'CLOSE' button. The seven segment LCD display within the module helps the user in identifying the tokens.

  1. Master Software

This is purely software Application to be installed in a PC which is connected to the Token Hubs in systemthrough communication interface, Apart from meeting the functionality of Managing Queues, it is desirable to record allthe events in the system with Date and Time stamp. Thus recorded Data can be made use of to generate several reportsas follows:

  • £Real Time monitoring of Queues’ status.
  • £Calculate and Display average waiting time in any Queue over a specified time window.
  • £Present in a tabulation form, the activity of a chosen Queue over a specified time window.
  • £Comparative bar graph among service providers of a given Queue or among several Queues.
  • £Take corrective action on inefficient service counter.
  • £Staff deployment can be reworked to achieve proper work load Balancing.
  • £Use it as a proof whenever disputes about quality of service araise.
  • £Reconfigure the System to give better service all the time.
  1. Token Hub

This is the main module of the entire system which receives requests from all the Token Dispensing Units and maintains one queue for every service. Likewise it can maintain up to maximum of 8 service queues. It can get connected to a maximum of 2 dispensing units and accepts service requests from all of them. It can also get connected to maximum 08 Token Calling Units and 10 Display units. On any of the Token Calling Unit requesting for a token to be called, the hub will determine from which queue it has to pick up the token and put that token on the Token Display Unit & announce the token no. in two different languages.

TERMS AND CONDITIONS

  1. The tender is for supply and installation of Queue Management System with all accessories at the branches of the Bank. The scope of work can be summarized as -Delivering, Installing, and commissioningthe system.
  2. The selected company must be capable of installing system and its accessories and configuring the systemin co-ordination with the bank’s IT Cell.
  3. After testing, verification and entries, the bills of the items will be paid by the Bank.
  4. Warranty period and terms are 36 months for all items. On-site maintenance support has to be provided by the company during the warranty period. As per the Terms and Conditions the firm will provide the after sales services and the warranty facilities. The company must commit to warranty obligation. The company must provide service and onsite support during warranty period as per Bank’s requirement, without any extra cost to the Bank. Bank expects assurance on services during warranty period.
  5. The Scope of work includes- Supply and Installation of all the supplied items, testing the integrated system and commissioning in coordination with the IT Cell.
  6. Scope also includes, without any extra cost to the Bank, installation of Softwareand resolving Software related issues during warranty and installation/reinstallation of drivers in OS, patches and bug fixing.
  1. The quoted items must meet all the Features as mentioned in the technical specification of the item. Any inadequacy in the given minimum specifications will disqualify the company during the evaluation process.
  2. Higher spec/feature items will not get any leniency over the cost while selecting the competitive quotation.
  3. All the materials will be delivered free at the bank including all freight, forwarding, loading and unloading charges.
  4. Any component required to be replaced within the warranty period will be totally new component and not reconditioned or repaired component. This is for the purpose of cost analysis to finalize the warranty package offered by the manufacturer.
  5. No Commitment to Accept Lowest Quotation. The final acceptance of the bids vests entirely with the Bank, which do not bind to accept the lowest price of any Bid. The evaluation of Bid will take into account in addition to the quoted price, the factors like quality and suitability of the product to the Bank, warranty conditions, maintenance clauses and bidders experience and feedback from the industry.

12.Quotation quoted envelope should be superscribed as “QUEUE MANAGEMENT SYSTEM”

13.This quotation rate will be valid upto one year

14.Actual number of master display and counter display may be varied according to the size of

the Branch.

REQUIRED ESSENTIAL FEATURES OF QUEUE MANAGEMENT SYSTEM

The system must work with or without PC

The system must generate various reports like daily efficiency report

The system must be capable to optimize resources in the bank

The system must include Token dispenser; Master Token Display and single side visible

Counter token display

The system must be capable to handle different types of customers & services

The system generated Token must carry details like services, date, time etc

The system should work in stand-alone and PC mode

The system should not interfere with other software in the bank

Warranty

Three Year warranty for entire QMS

VERIFICATION OF THE PRODUCT

The product of the selected company will be verified by the bank’s technical expert before issue of the confirmed Purchase order. Failure in verification of the product will end up in disqualification of the selected company and the chance will be given to the next company in the line of selection/preference.

Payment terms are mentioned below:

(a)On delivery of the items: Nil

(b)On successful installation, testing and

Commissioning of all the items : 90%

(c)Security-cum performance deposit withheld

by the bank to be paid back to the company

after one year from the date of last payment :: 10%
