Instruction for participants

I. Preparing for the session

1. Needed equipment to use GoToMeeting

  • Windows or Mac computer
  • Internet connection
  • Microphone and speakers: USB headset is highly recommended.
  • You can also make calls on your landline or mobile device (applies to a limited number of countries)

2. How to join a GoToMeeting session

When invited to a GoToMeeting session, you will be sent an URL link. Click on the link - or copy it into your browser - to join the meeting.

Note: If you will join the meeting before the organiser has started the meeting, you will be presented with a “Waiting for organiser” screen. Once the organiser starts the session, this screen will disappear and you will see instead the screen of the presenter and your control panel for managing the session.

3. Test your connection/audio function before your session!

Please test your connection a day before your session to check that your computer has everything required. If you’re on a desktop computer, you may need to first download the Citrix Online Launcher file to launch the session.

In case you have experienced problems accessing Go-to-Meeting:

Check to see that you meet the minimum system requirements before downloading the latest version of GotoMeeting:

Background information on the installation process: When you start or join a meeting, the installation package (including applications and plugins) will be downloaded onto your computer. By leaving the applications installed and the plugin enabled, you will be able to join future meetings more quickly by avoiding the extended download process.

II. During the Go-To-Meeting session

Once the meeting has started…

…a Control Panel appears on the right side of your screen. Use the panel to manage your session.

Note: Go-To-Meeting is a screen sharing software. You will either see the screen of the presenter or a special “pause screen”/your own screen. There is nothing like a “Go-to-Meeting room”. It is recommended to close down all other applications before the start of the session (exception: presenters).

Ensure a good view: To free up space on your desktop, you can collapse the control panel to the smaller “grab tab” (see below) by clicking on. Click again to bring back the whole control panel.

Both the control panel and the smaller grab tab you can move to any place of your screen.

You can manage the most important functions either via the control panel or via the smaller grab tab:

Talk: Click the microphone icon to mute/ unmute your microphone. A green microphone means that you can speak. If you don’t want to speak keep your mic closed (red).

Audio: Ensure proper audio functions: Select “computer audio” in case you are using a headset/mic and speakers, or “Phone call” in case you have joined the audio part via phone (in this case, ensure you have entered the PIN indicated in the invitation). Test your audio functions by doing a sound check and make sure you have selected the right speakers and microphone. At the top of the control panel you can see, who is talking.

Attendee list: View the names of all participants in session. You can mute/ unmute your microphone by clicking on the microphone symbol next to your name:

Chat: Send and receive chat messages in-session to either the entire audience or a single participant. Just enter your message, choose the recipient and click on the send button. Note: Go-To-Meeting does not offer any “Raise-hand” function. If you have a question or comment, please use the chat box or the mic. There are unfortunately also no “emoticons” available to give immediate feedback to the presenter.

You find your chat pane too small? Grab your chat pane within the control panel, move it to

another place on your screen and enlarge it. To see newly incoming chats, make sure the slider within the chat pane is at the very bottom. Once you close the chat pane, it is automatically re-integrated into the control panel. The same works with the attendee list.

Screen-sharing: everybody can be invited by the current presenter to share his/her screen. In this case a message will pop up on your screen and once you agree to become the new presenter, the others will be able to see your screen and everything you are doing on it.
