Volunteer role

Administration volunteer

Location

Nightingale House, Nightingale Hammerson

Purpose of the role

To perform general administrative duties and provide support to the Human Resources team.

Outline of responsibilities

· 

·  Taking enquiries from colleagues and from external contacts

·  Answering the telephone on behalf of team colleagues

·  Producing and dispatching standard letters

·  Preparing new starter packs and files

·  Processing reference requests for new staff members

·  Processing immigration checks for new starters and current staff

·  Assisting in DBS checks for new starters

·  Supporting with induction days

·  Processing paperwork for departing staff members

·  Photocopying documents

·  Note taking in confidential meetings

·  Managing the booking system for training courses

·  Research information from the computer files and internet

·  Quality assurance and auditing checking of personnel files

·  Maintaining records, filing systems and computer files

·  Undertaking any other tasks/duties as may be reasonably required.

These are the key duties and responsibilities for the role and they are subject to regular review.Any significant changes to the role will be subject to consultation.

As an administration volunteer, you will be part of the Human Resources department but your role will involve you supporting staff members from other teams from time to time.

Skills and experience required

·  Producing simple word processed documents

·  Creating and using simple spread sheets

·  Experience in general office procedures

·  Experience of using office equipment and IT

·  Knowledge of confidentiality in a HR department

·  Able to operate as part of a team

Time commitment

A minimum of one day per week or as discussed with the Volunteer Support and Development Manager / support person.

Support

You will be supported by the Head of Human resources plus occasional support from the Volunteer Support and Development Manager.
