How to Host Coffee Hourduring Fall Construction

  1. Email Anne at to give her your name as the host if you want to hold a regular coffee hour, or if you want to celebrate a birthday or special event on the Sunday you select.
  1. Set-up
  2. Set up under the blue tent in the Upper Platea, weather permitting. In case of rain, you can set up tables in the Exo-Narthex.
  3. For a Sunday coffee hour, you should plan for an estimated 80 adults and 30children.
  4. Paper Products/ Supplies are in the Pavilion Storage Building (Block House).
  5. SET UP - Place coffee urns, water, iced tea, soft drinks, juices, cups, and ice on one rectangular table. Place food products, dishes, plastic wear, and napkins on rectangular tableson the other rectangular table. Use disposable pans, original food containers, or trays or baskets lined with paperfor food.There will be no facilities for washing dishes so please make sure everything is disposable or can be taken home with you.
  6. Placea lined trash container for garbage near the tent.
  7. If there is a memorial, an additional table is available in the Exo-Narthex for theKoliva set up.
  8. Coffee and Drinks
  9. Regular and decaf coffee, sugar, sweetener, stirrers and non-dairy creamer are available in the Pavilion Building for making coffee. Make 60 cups of regular and 20 cups of decaf coffee. You’ll need ½ cup of coffee grinds per 10 cups of water. Adjust based on attendance.
  10. To make coffee, fill the coffee urns using water from the CLEAR hose located behind the house (near the basement door). You can bring the urns on a cart provided in the block house to the hose, or you can fill empty drinking water bottles and fill the urns at the platea. An electrical outlet is available in the Exo Narthex, closest to the Chapel.
  11. Provide 1 gallon each of sweet and unsweetened iced tea, juice/lemonade for kids, and 1 gallon of drinking water or bottled waters. Also, bring one large bag of ice for the cold drinks. Somedrinks and bottled waterare available in the block house. During the construction period, you may choose to leave unfinished,tightly sealed soft drinks containers in the pavilion fridge for the use in the following weeks.
  12. Food

Please limit food to simple finger type– such as cookies, small cupcakes or muffins, nuts, potato chips and small pastries. Nothing that requires utensils to eat. Avoid cakes and other foods that need preparation, serving, and cleanups, unless you prepare them at home and bring it on your own serving tray. Grapes are o.k. Take leftover food home, to MUST Ministries, or toss it.

There are no warmers, stoves, ovens, etc. for preparing or heating coffee hourfood.

  1. Coffee Hour Supplies
  2. The Pavilion Bld. Block Houseis stocked with coffee and cold drink cups, Styrofoam small plates and bowls, trays, baskets, plastic ware, napkins, and paper towels.
  3. Pavilion Building has a few kitchen tools: knives, spatulas, ice cream scoops, and tongs but we do not recommend using these unless you are willing to wash and dry these tools in the house kitchen before returning them to the block house.
  4. Clean-up
  5. The coffee hour host is responsible for throwing away all trash, cleaning the tables, cleaning the serving trays/ bowels, washing the coffee urns, and storing all cleaned equipment in the appropriate (marked) areas in Pavilion Building. “When in doubt, throw it out.”
  6. Cleaning supplies are available in the Pavilion Building.
  7. Coffee pots can be cleaned in the utility sink located outside the Church Administration Building basement. Please empty coffee grounds in the trash.
  8. Closing
  9. It is the host’s responsibility to make sure that Pavilion block house lights are off, and building fans and food cooler are left on.
  10. Secure the Pavilion Door by using the door locks at the top and bottom of the right panel door, and by locking the master lock. Don’t worry about locking up if you don’t have a key. Someone can lock up for you.
