How to Export Item data with Bib records in Aleph
All instructions are for version 19, but should work in other versions—just change “u19_1” and “a19_1” to the proper values.
Aleph has programs that will “expand” data from one file to another. When you export bibliographic data using print-03, you may use the expand programs to add data from another file. There are brief descriptions of the expand programs in the Indexing chapter of Aleph’s System Librarian manual.
The program for expanding data from the Item File to the Bibliographic data is: expand_doc_bib_z30. This program will add Z30 tags with item information to the bibliographic record.
To specify the item data that you wish to export, you will have to edit the table expand_doc_bib_z30 in your local bibliographic library: /exlibris/aleph/u19_1/xxx01/tab
Copy the default table from /exlibris/aleph/a19_1/usm01/tab to the above library:
It should look something like this (without the header):
Subfield Empty Translation
Field tag value flag
1 2 3 4 5
!-!!!!!!!!!!!!!!!!!!!!!!!!!!!!!!!!!!!-!-!!!!!!!!!!-!
# active-library l space N
# active-library L space Y
# z30-material m space X
# z30-sub-library 1 space N
# z30-sub-library A space Y
# z30-collection 2 space N
# z30-collection B space Y
# z30-call-no 3 space X
# z30-call-no-2 9 space X
# z30-inventory-number 6 space X
# z30-barcode 5 space X
# z30-note-internal 4 space X
# z30-note-opac 7 space X
# z30-open-date 8 zero X
# z30-chronological-i a space X
# z30-enumeration-a b space X
# z30-enumeration-b c space X
# z30-enumeration-c d space X
# z30-pages e space X
# z30-item-status f space N
# z30-item-status F space Y
# z30-item-process-status p space N
# z30-item-process-status P space Y
# z30-order-number g space X
# z30-description h space X
Y z30-issue-date i zero X
Y z30-expected-arrival-date j zero X
Y z30-arrival-date k zero X
Even if these are the exact fields you wish to export, you will need to modify the table. The Z30 tag created by the program also contains the call number subfields from the holdings record tag 852 (subfields h and i) and the z30-description subfield and z30-issue-date use the same subfield tags. You may wish to delete some fields. For example, you see two lines for z30_sub_library: one with tag 1 and the other with tag A. Tag 1 will hold the code and tag A will have the description. I chose to just export the codes. It is a good idea to test out the results by running an export and viewing the results in a tool such as Marc Edit to make sure you have not duplicated any tags and have all the data you need.
Now you will need to add a section to the tab_expand table for use by the print-03 export program.
This table is in /exlibris/aleph/u19_1/xxx01/tab
Add a section “print-03” with the expand program.
PRINT-03 expand_doc_bib_z30
“PRINT-03” will now appear in the drop-down box for Expand Routine on the PRINT-03 submission form:
You will now be able to include item data in your export, but OCLC cannot handle the nonnumeric “Z30” tags. There is a way to fix this in Aleph.
You will need to create a script z30_930.fix in /exlibris/aleph/u19_1/xxx01/tab/import that will change the Z30 tags to 930 tags. Copy the script “generic_fix” and change it to look like this:
! 2 3 4 5 6 7 8 9
!-!!!!!-!!-!-!!!-!!!-!!!!!-!!!!!!!!!!!!!!!!!!!!!!!!!!!!!!-!!!!!!!!!!!!!!!!!!!!!!!!!!!!
1 Z30## CHANGE-FIELD 930
Now add a line to the PRINT-03 section of tab-expand immediately after expand_doc_bib_z30 to run your processing script using fix program fix_doc_do_file_08.
PRINT-03 expand_doc_bib_z30
PRINT-03 fix_doc_do_file_08 z30_930.fix
These are all the configuration changes you will need for export.
Run ret-01 retrieval program to create your file of bibliographic system numbers to use as input for print-03.
When you run print-03 to download machine readable records, you need to specify the following:
Input file name
Output file name
Field 1*ALL
FormatMARC with alphanumeric tags
Expand routinePRINT-03
Export deleted records No
Now you should have an output file with 930 tags for item records. I used MARC Edit to display the results.
