Housing Sign-Up Information

2015-2016

All full-time students enrolled at Wartburg College must live on-campus all four years for the full academic year (unless approved by the Residential Life Office). Students who remain enrolled at Wartburg, but receive approval to live-off campus for Winter or May term after living on-campus for Fall will be charged ¼ of the departing term’s housing cost due to breaking the housing agreement. http://www.wartburg.edu/reslife/housingdiningcontract.pdf Students who choose to reside elsewhere without approval will be charged full room costs for the entire academic year as Wartburg is a residential college.

The following is a brief overview of the process & important dates. We strongly encourage you to seek more specific information about housing, meal plans & parking/vehicle registration, on our website at www.wartburg.edu/reslife. On the website you will find a list of frequently asked questions. If you have any other questions, please contact your RA, RHD, or the Residential Life Office.

All students have three opportunities to attend information sessions about the housing process:

  • Monday, March 16th at 8:00PM in Clinton Hall, 1st Floor Lounge
  • Tuesday, March 17th at 8:00PM in Centennial Hall , 1st Floor Lounge
  • Thursday, March 19th at 8:00PM in McCoy West

Vocabulary

  • Lottery Number – Randomly generated numbers (1-2000) assigned based on your anticipated graduation date.
  • as determined by the Registrar. When used with a roommate or a suite the AVERAGE determines the new number used for both people/whole group to determine the order residents may pick their housing. Lower numbers select first.
  • Housing Card – General Information used by the Residential Life Office for resident location & meal plan. This card will be delivered through campus mail no later than March 2nd. The housing card contains your lottery number.
  • Room or Suite Capacity – Designated number of people that fill a room or suite.
  • Swapping -The act of 2 students agreeing to share a “space” for the academic year because one student is leaving campus for Fall and one student is leaving campus for Winter. Please review the Swapping Process information below.

The Process

1. Your LOTTERY NUMBER and HOUSING CARD will be sent to you via campus mail no later than March 2nd. Students with account balances over $1,000 will not receive lottery # / housing cardsand will not be allowed to participate in the Housing Lottery. Please visit the Business Office to address balances over $1,000.

2. Decide your desired housing location, room type (which needs filled to capacity), and roommate(s). Calculate your group lottery number by averaging all the lottery numbers in your group. Remember to have back-up locations and groupings.When regrouping is necessary, lottery # averages must be recalculated for the new group.

*** If you plan to live with a new, incoming student, they will be assigned a lottery number of 2000 and that number will be used to calculate averages to determine sign up order. ***

3. Attend housing sign-up. (Dates & Times are below). Rooms will be selected based on average group lottery number (lowest to highest). You must fill a suite or a room to CAPACITY on housing sign-up night. If unable to attend, group members may represent you butall group member cards must be present in order to participate and secure a space.

Dates, Times, and Additional Information for Hall Sign-Up

You should plan to arrive five minutes before your scheduled sign-up time. Bring your lottery number, housing card, & photo ID to the location and on the date indicated below.

Service and Learning Housing Sign-Up (Residence / Lohe; Application-Based & Pre-Approved)

Lohe Hall Sign Up

Tuesday, March 24th at 7:00 PM in Grossmann 16

  • Groups / Singles (filling suites to capacity) previously accepted into Lohe Hall through the application process have guaranteed themselves a suite/room in Lohe Hall. Groups will use their average lottery number to secure actual rooms within the building. Groups must average their lottery numbers and will select rooms based on that number (lowest to highest).
  • If individual housing cards are missing from a group at the time of sign-up on March 24th, those missing cards will use the # 2,000 to generate their group average. If account matters aren’t addressed by May 1st allowing all members of a group to receive their housing card and officially sign-up, groups may need to relocate to other available spaces on campus or secure different roommates as this Hall and the Service – Learning Program are deemed as priority housing.

Thursday, March 26th at 7:00 PM in Grossmann 16

Knights Village Sign Up

Wednesday, March 18th at 7:00PM in Lyceum

  • Students filling a 4 person apartment to capacity in Knights Village with an average lottery number of 1-999. ALL MEMBERS MUST BE 4Y students next Fall, with an anticipated graduation date of December 2015 or May 2016, according to the Registrar’s documentation.
  • Students filling a 6 person apartment to capacity in Knights Village with an average lottery number of 1-999. ALL MEMBERS MUST BE 4Y students next Fall, with an anticipated graduation date of December 2015 or May 2016, according to the Registrar’s documentation.
  • Students wishing to live in Knights Village in single rooms with a lottery number of 1-999. ALL MEMBERS MUST BE 4Y students next Fall, with an anticipated graduation date of December 2015 or May 2016, according to the Registrar’s documentation.

Thursday, April 2nd – Residential Life Returning Non-Participant Placement Process

  • Eligible (Balances less than $1,000) Lottery Non-Participants will be assigned housing by Residential Life Staff.
  • Placements will be communicated via email the week of April 6th.

Swapping Process - Information for students studying away during Fall or Winter Terms

1.)Students studying away (i.e. Wartburg West; Venture Education) from campus during the Fall semester DO NOT sign-up for housing during the Lottery process. Students studying away for Fall will not receive a housing card / lottery number. Therefore, groups of students planning to live with a student studying away for Fall must find a study away Winter student to live with during the Fall semester. Otherwise, trying to secure group housing while including a student gone for Fall semester doesn’t align with the “Must Fill a Suite to Capacity” rule. Thus, the remaining students in the group would not be allowed to sign – up. This enables, barring unforeseen circumstances (i.e. change of plans, maintenance issues, etc.) the study away Fall student to return to that desired group for Winter term.

2.)Students studying away from campus during Winter term DO sign-up for Fall housing during the Lottery Process. Students studying away for Winter MUST pick up their housing card / lottery number during the Social event described below. If unable to attend the Swapping Social, housing card / lottery numbers will be available for pick-up from the Residential Life Office as of Tuesday, March 17th. This is done in order to review the Swapping Process. Cards won’t be delivered to student mailboxes.

3.)In an effort to assist Fall students studying away in knowing where they will be residing the following winter term, Residential Life will host a social event for all Fall and Winter study away students in the Clinton 1st Floor Lounge on Monday, March 16th at 9:00 PM to encourage swapping agreements to occur. Study away student lists and swap agreements will be provided.

4.)Groups that include Winter study away students or Winter study away students trying to secure single rooms WILL participate in the Housing Lottery process as describe above. Fall study away students won’t participate in the Lottery process. However, Fall study away students will be able to know where they are living and who they are living with upon their return if they are successful within the swapping process. Reminder, groups of students planning to live with a student during Winter term who’s studying away for Fall must find a study away Winter student to live with during the Fall semester to ensure the Fall student living with their desired group upon return. Otherwise, trying to secure group housing while including a student gone for Fall semester doesn’t align with the “Must Fill a Suite to Capacity” rule. Thus, the remaining students in the group would not be allowed to sign – up.

5.)Following the Lottery process, Fall study away students who didn’t secure a swap will be placed in Winter term housing of Winter study away students who didn’t secure a swapping partner or other known available spaces. Placement will be communicated in early April. Residential Life is hopeful this early April placement process will inform non-swapping students of where they are living upon their return. It likely will include all Fall students who haven’t secured housing through the swapping process, but that can’t be guaranteed because of Fall / Winter study away number fluctuation.

6.)In late October / early November, Residential Life will contact all Fall study away students reviewing their swapping placement (if one exists) or April housing assignment (if one exists) for the Winter term. If students feel a need to change their Winter term assigned room at that time, a space list will be provided and Residential Life will work with the student to meet their requests as much as possible. In the unlikely situation a Fall study away student wasn’t aware of their Winter housing location (due to a variety of unexpected reasons) as of late October / early November, Residential Life will work with the Fall study away student to place them in an available space of their preference at that time.

7.)Swap agreement forms will be available in the Student Life Office (also available at the Social Event) starting March 9th. To ensure Residential Life is aware of coordinated swaps, swapping agreement forms can either be turned into the Student Life Office prior to your group’s desired housing sign-up night or the form can be turned in at the housing sign-up night.
