Monday - Friday 17:00 - 1900 (Ward Reception - out of hours)

Saturday and Sunday 9.00 – 1700 (Ward Reception – out of hours; split shifts available iemornings or afternoons)

Experience required/preferred

  • Previous experience of working on reception, or in a similar public facing/customer service role would be an advantage, especially in a clinical setting.
  • An understanding of patient confidentiality requirements is key.
  • IT skills, particularly use of Microsoft Outlook for email and electronic calendars would be advantageous.

Full training will be provided on all of the points above.

Outline of role

Our team of Receptionists are the first point of contact with the Hospice for a wide range ofpeople, whether it be by 'phone or face to face. This includes dealing directly with patients, their families and carers, GPs, District Nurses, staff, volunteers and any other visitors who may attend the hospice. It is a role ideally suited to those who enjoy dealing with, and helping different people every day and who are friendly, reassuring, calm and professional.

Key tasks

  • To maintain confidentiality at all times
  • To answer the main Hospice switchboard, dealing with calls quickly, efficiently and pleasantly, taking messages where necessary.
  • To ensure that all visitors and contractors sign in and out of the Hospice (for fire safety and security)
  • To greet, welcome and direct visitors; providing drinks if required
  • Assist in our small Reception Shop, serving customers and generally keeping the area tidy.
  • To perform basic administrative tasks and use office equipment (i.e. PC, photocopier, printer)
  • To take room bookings from staff, using the computer based calendar (Outlook).
  • To keep the reception area tidy.
  • To work closely with the fundraising team in raising awareness of events and folding and selling raffle tickets etc.
  • To work closely with the Clinical Admin. team in directing calls and taking messages relating to patients.

Other important information

  • All volunteers are required to maintain confidentiality around certain patient and Hospice information.
  • DBS (formerly CRB) clearance will be needed for this role.
  • Due to the patient contact involved, and nature of this role, we can only accept volunteers who are aged 18 and over.
  • All volunteers are required to attend annual training
