What is this project about?

As the work of BCARS develops, there is an increasing need to relieve the front line workers of administrative tasks that can be time-consuming. Experience also shows over the recent Sleepsafe projects that it is imperative to have someone calm, flexible and professional processing the Sleepsafe referrals and coordinating the volunteer rota. Therefore, the decision has been taken to extend the previous Sleepsafe role across all the BCARS work.

Job purpose?

Provide excellent and calm administrative support to BCARS projects that is done to enable staff and volunteers to flourish in their roles, and so that the guests receive the best possible support in their journey to “life in all its fullness”. This is not just a typing job; we need someone who has the heart to see lives transformed, but also the detailed skills to bring order to the work.

Duties and responsibilities

This list is not exhaustive, but gives an idea of the main areas:-

  1. Maintain and coordinate the Sleepsafe Volunteer rota
  2. Ensure an accurate and up-to-date database of contacts (on CharityLog system)
  3. Taking phone calls and messages, dealing with all enquiries courteously and effectively; and sending out communications including to volunteers/referrers etc. to update them;
  4. Doing simple written admin such as notes for letters to churches.
  5. Help to arrange promotional events / presentations
  6. Provide support to other members of BCARS staff team (2nd half and half time leads), including processing referrals to all projects
  7. Doing other admin tasks as requested by the FWW homelessness worker including making upmanuals for Sleepsafe / Half Time / 2nd Half, Photocopying, Laminating etc.

Person specification: Skills, competences and experience:

•Evidence of ICT and PC skills in relation to MS Office programs

•Experience of successfully supporting busy managers by organising and managing large amounts of paper

•Able to work to deadlines

•Effective communication skills face-to-face or by email/phone with a range of audiences

•Evidence of excellent team working, especially with volunteers of all ages and abilities

Key personal characteristics required:-

•Agreement with basic tenets and the Christian values of BCARS and Faithworks Wessex

•Passionate about helping those in need in the community

•Able to model a high standard of integrity to volunteers, referrers and clients

•A self-starter; takes initiative; but willingness to learn new skills as systems and needs develop

•Flexible and always thinking about ways to improve the service.
