Hornbeam Nights Event & Venue Hire Manager

Hornbeam Nights provide a supported space for artists, musicians, workshop facilitators and aspiring chefs to deliver events at The Hornbeam Centre and beyond. These events take place when our cafe is closed (mostly evenings) at the Hornbeam E17 and other venues around the borough. This Hornbeam Nights Event & Venue Hire Manager is responsible for coordinating the various groups and individuals that use our space and facilitating event delivery, both at planning stage and often on the night.

Core Responsibilities:

Event Management:

  • Support, create and deliver community events (e.g. workshops, film nights, supper-clubs and music evenings).
  • Continue to support and deliver existing successful Hornbeam Nights and seek out new events that promote and align with the Hornbeam’s core values.
  • Manage finances for Hornbeam Nights, including monitoring takings, stock-taking and ordering drinks.
  • Seek out and support local andsustainable businesses, suppliers and products (particularly alcoholic beveragese.g. TOAST ale).
  • Liaise with event-organisers, offer guidance and circulate relevant documentation, including the event checklist and terms and conditions of hire.
  • Induct individuals and groups into the space and equipment and collaborate with the Café Collective to provide additionalkitchen inductions for supper-clubs and kitchen users.
  • Ensure health and safety, fire safety, risk assessment, security and insurance policies are understood by staff, volunteers and building users.Communicate building security protocol and entrance/close-downprocedures.
  • Organise bar staff/Front of House staff for Hornbeam Nights (from pool of Hornbeam staff/volunteers).
  • Ensure the cafe is clean, tidy and presentable before and after events.

Publicity and Promotion:

  • Publicise Hornbeam Nights and support external groups to publicise their events through social media channels and local networks, ensuring that events are publicised online (social media, website etc) and offline (flyers, posters etc) one month prior to the event.
  • Co-administer for the Hornbeam Facebook and Instagram accounts and respond to enquiries

Venue Hire:

  • Coordinate venue hire of our various spaces, including liaising with long-standing regular bookings and one-off or sporadic bookings. Act as a point of contact for venue users and field venue-related enquiries, such asaccessibility requirements and booking changes.
  • Update Skedda (the Hornbeam’s room booking system) and the Hornbeam Google Calendar.
  • Develop and expand venue hire. Publicise to a wider audience and make links with similar venues and networks.
  • Coordinate with the book-keeper to ensure payments for bookings have been made.

Maintaining Community Space:

  • Work with the Hornbeam team to ensure a safe and healthy work environment, including participating in building up-keep, such as cleaning, reporting building maintenance issues, arranging servicing for equipment, monitoring health and safety and alcohol licensing.
  • Identify artists every two-three months who would like to display their artwork in the café and organise rotation of artwork on the café walls.

Income Generation:

  • Attend Community Business Training Sessions with the Hornbeam Coordinator throughout the year. This training is focused on growing the income of Hornbeam Nights, Venue Hire and the café.

Essential Skills:

  • Excellent literacy, communication and interpersonal skills.
  • Able to work and collaborate with a wide variety of people.
  • Experience of delivering and running events.
  • Computer literate and competent with a range of software applications.
  • Able to work independently, manage and prioritise your workload and meet deadlines
  • Able to involve and motivate others and to support delivery and realisation of their ideas.
  • Able to manage and nurture relationships with a range of different partners; from small volunteer-led groups to musicians, artists and facilitators.
  • Good knowledge of sustainability, particularly relating to food, energy, recycling, biodiversity and waste reduction.
  • Passionate about empowering local communities, cultivating community resilience and supporting social action.
  • Able to work inclusively with experience of working with and reaching out to groups and individuals from under-represented communities.
  • Experience of recruiting and supporting volunteers within a community setting.

Desirable:

  • A deep understanding of the concepts that drive social and environmental change
  • A working knowledge of the Hornbeam, its partners and the London Borough of Waltham Forest.
  • Basic understanding of technical equipment (P.A. systems, running a projector off a laptop, live music equipment). Technical training will be provided.

Salary: £12 per hour

Mainly Based at:Hornbeam, 458 Hoe Street, London E17 9AH with option to carry out some tasks remotely

Working Hours: 18 hours per week, flexible: some weekends and evenings

Annual Leave: 18 days per year plus statutory bank holidays (pro-rata).

Contract: Freelance fixed-term one year contract in the first instance. The period of notice is two months in writing on either side. There is a probationary period of three months.
