Minutes Of The Meeting Held On Tuesday, 14th April 2015

At Hingham Surgery At 6pm.

Present: Malcolm Southgate, Jan Southgate, Corah Carney, Sue Bell, Geoffrey Young, Linda Langridge, Frank Davis, Ann Denman, David Trollope, Jace Halstead (staff), & Nicola Cogman (staff).

1.  WELCOME & APOLOGIES

Malcolm Southgate (Vice-Chair), welcomed members to the meeting. Apologies for absence were received from Eileen Davis (Chair) and Dr Conway.

2. MINUTES OF THE PREVIOUS MEETING
The minutes of the previous meeting held on 10th February 2015 were reviewed and agreed.

3. MATTERS ARISING & UPDATES
a) Carer’s Group:

Ann reported that the Carers’ Support Group continue to meet on the first Tuesday of the month at the Surgery. Two people had attended the last group; one of which was a new person. The group fluctuates a little but continues to be valued by those who attend.

b) Step out for Health Walks:

The walks had re-launched today (14th April) and 10 people had attended. Eileen had written to the Chair of the Parish Council regarding accessibility to the footpaths.

c) Cold Water Dispenser:

Since the last meeting, the Committee has been researching into the costs of purchasing a cold water dispenser for the Practice. Jan & Malcolm had sourced a second-hand machine that was like new from Office Water Supplies (OWS) based; a company based in Great Ellingham. The cost of this machine would be £250 compared to the new price of £400. OWS had met with Jace at the Surgery and it was decided that the best place to install the dispenser would be against the wall by the downstairs toilet. A plumber would need to supply a cold water feed and an extension lead could be run off from an electrical socket in the cleaner’s cupboard. The current PPG funds would be able to purchase the machine and pay for the plumbing and electrical works required. Annual maintenance costs for the dispenser would be £100 per year which includes 2 service visits and filter changes. It was felt that breakdown cover was not necessary. One suggestion is that the PPG raise further funds for pay for 2 yrs maintenance and then formally hand over the dispenser to the Practice who would then pick up future maintenance costs.

The Surgery is waiting for the Plumber and the Electrician to finish the preparatory work and then the dispenser can be installed.

4. TREASURER’S REPORT

a) Jan reported that the book and CD sales are going very well. The current balance is £685.

5. BEATING THE BOUNDS

The PPG have had an invite to participate in the Beating The Bounds event. Beating the Bounds is an ancient custom still observed in some English and Welsh parishes. A group of old and young members of the community walk the parish boundaries, usually led by the parish priest and church officials, to share knowledge of where they lay, and pray for protection and blessings for the lands. The Hingham Society will re-enact the tradition on Saturday May 9. The walk begins at 11 am at Nordelph Corner and leads clockwise in a circle round the parish to finish there about 6 hours later.

The PPG are invited to walk from the start at 11am from Nordelph Corner to Hardingham Rd (0.2 miles). Please see appendix 1 (page 3) for a full schedule of the walk.

6. RECRUITMENT DRIVE FOR PPG

David reported that he had a meeting with Jace & Nicky to discuss ideas for recruitment to the PPG. It was felt that this would be an ongoing process with adverts, poster campaigns and inserts into the books. One suggestion was to devise a leaflet to distribute at the Beating The Bounds walk.

7. UPDATE FROM THE PRACTICE

a) Jace updated on the Did Not Attend rate (DNA). There are approximately 15 DNA’s per week which equates to one whole GP session. If a patient does not attend 3 times, they receive a letter.

b) The Saturday morning trial surgery has now finished. It had mixed results. It was felt that the early morning appointments (from 7.30am) are more successful and are very popular with patients.

c) The Friends and Family Test is ongoing. 15 cards were received in January, 2 in February and 11 in March. Cards are available for patients to complete in the surgery or online.

d) The 2014/15 PPG report is now completed and has been submitted to NHS England, Anglia Area Team. A copy is on the web-site under ‘Survey reports’.

e) Jace told that patients can now review their Summary Care Record online. This carries details of key information such as the patient’s medications, allergies etc. To access these records a patient needs to subscribe to the Surgery’s online services. Once subscribed, a form can be downloaded online and should be completed and handed in to Reception who can then authorise access to the Summary Care Record.

f) The hedge is due to be cut shortly which should help with access and visibility into the Surgery car park.

g) Jace reported that the Practice is still awaiting a CQC inspection.

h) Jace and Nicky had attended a meeting recently about CQC inspections. It was suggested that a patient survey could focus on feedback that CQC like from patients. The 5 key questions CQC ask are whether the Practice is: i) safe, ii) effective, iii) caring, iv) responsive, v) well-led and particularly focus on 6 patient categories: a) Older people b) People with Long Term Conditions c) Families, children and young people d) Working age people e) Vulnerable people f) People with mental health problems.

Jace suggested that the PPG might consider undertaking a new patient survey. The PPG felt that June might be a good time to do this. Jace to try to find a template or similar.

8. Any Other Business

a) There is a Carer’s Information Event on Friday 17th April at Attleborough Connaught Hall, 10am-1pm.

b) Corah told of correspondence from SNCCG, They have secured funding for a project to map community groups, resources and activities that support mental health and wellbeing in the South Norfolk area. The project will run from March 2015-April 2016. They are looking to involve patients and people living in South Norfolk. Anyone interested in participating can e-mail Oliver Cruickshank at the CCG. A meeting is scheduled for Wednesday April 15th.
