SUMMARY:

Reporting to the Director of Finance,the Donor Database Administrator is responsible for the accuracy and integrity of all data contained in the Raiser’s Edge donor database, as well as overseeing all routine data input and output, including charitable tax receipts.
Working as part of the Finance & Administration team in collaboration with the Resource Development team, responsibilities also include donation processing, importing and exporting data, extracting and analyzing data, data mapping, developing and implementing processes to guide data entry in consultation with management, documenting database changes, and ensuring that the database effectively captures donor information and generates accurate financial and analytical reports.

DUTIES & RESPONSIBILITIES:

65% of Responsibilities:

Data Processing

  • Complete and oversee manual entry of donations from various sources (direct mail, telephone, EFT) and issuing tax receipts.
  • Import data from various sources (Luminate, Canada Helps, Artez, Excel spreadsheets, other databases) into Raiser’s Edge.
  • Monthly reconciliation with accountingrecords

20% of Responsibilities:

Customer Service (internal and external)

  • Converses in a professional manner with donors by telephone to accept donations and process changes to donor information (e.g., address, donor preferences)
  • Provides support and guidance to database users
  • Provides staff with accurate data as requested to perform their various duties in a timely and efficient manner

15% of Responsibilities:

Database Maintenance

  • With the direction of internal stakeholders, examines and cleanses donor data records to maintain overall data integrity and the accuracy of data imported into the database by eliminating duplicate records and inconsistent data
  • Runs global data changes to the database as required or requested by management
  • Maintains the data mapping including appeals, funds, and campaigns in consultation with key stakeholders
  • Together with accounting staff, ensures that financial data relating to donations recorded in Raiser’s Edge is accurately reflected in the accounting records
  • Performs other duties and tasks as assigned

QUALIFICATIONS:

Minimum qualifications and experience:

  1. Intermediate or above experience using Raiser’s Edge donation database - minimum 1-2years’ experience
  2. High level of proficiency in Excel, Word, and Outlook
  3. Proven dedication to customer service
  4. Ability and willingness to work with repeated manual data entry
  5. Ability and willingness to manage telephone and email inquiries from donors
  6. Attention to detail and accuracy
  7. Ability to follow direction, work independently as well as a team member
  8. Positive, proactive and cooperative attitude
  9. Excellent written and verbal communication skills
  10. Demonstrated organizational skills and initiative
