GSA TRAVEL AND GRANTS RESEARCH COORDINATOR – GRADUATE ASSISTANT POSITION, 20 hours a week – SPRING/AY 2017

The Office of Graduate Student Life (OGSL) is operated by the Graduated Student Association (GSA) to meet the needs of graduate students as they pursue degrees at the master’s and doctoral levels in all disciplines at UMBC.

The successful candidate MUST be eligible for Federal Work Study, determined by the student’s FAFSA (must be a U.S. citizen or a Permanent Resident)

This graduate assistantship is the coordinator for all travel and research grants for graduate students.

Job Duties

•Oversees the overall operations of travel and research grants, which includes processing and monitoring travel and research grant applications and working fund requests in accordance with university and GSA policy.

•Responsible for all email communications with graduate students regarding travel and/or grants.

•Presents student applications/reimbursements to the Executive Board when non-compliant with GSA policy.

•Receives approval from EAA on all student reimbursements and sends documents to accounting for final payment.

•Updates grants page on GSA as needed.

•Works closely with the Assistant Manager, Business Services.

•Serves as the liaison between grant applications and UMBC accounting offices.

•Maintains the master grant database and generates reports on grant distribution.

•Updates student records as needed.

•Completes Journal Entries as needed.

•Manages applications through JotForm.

•Assists as needed with filing and disseminating important information.

•Works closely with Communications Manager to manage all community service requirements that graduate students must complete when receiving GSA travel/research grant funding.

•Brainstorms and generates new avenues to simplify processes that affect graduate students.

•Tracks attendance of GSO and Program senators at GSA Senate meetings in lieu of the Communications Manager’s absence.

•Other duties as assigned (e.g. assisting with the Graduate Research Conference).

Qualifications and Requirements

•This position requires knowledge of UMBC’s Travel and Grant policies and GSA Travel and Grant Policies.

•Must have flexible availability throughout the week to participate in committee meetings and GSA/OGSLevents.

•Strong interpersonal, analytical, oral and written communication skills required; conflict resolution skills desired.

•Knowledge of Word, Excel, PowerPoint, and Google applications.

•A commitment to diversity and team building is essential.

•Bachelor’s degree, full-time enrollment in a UMBC master’s or doctoral degree program & be in good academic standing with TheGraduateSchool.

•May not hold a doctoral degree or have UMBC adjunct faculty status.

•Ability to work independently.

•A positive attitude, strong time management skills, and a sense of humor are advantageous.

OGSLExpectations

•Serves as a member of theOGSLand assists theOGSL& GSA in its mission of supporting and promotinggraduatestudents.

•Collegially supports and assists the GSA Executive Administrative Assistant,the Communications Manager, and theCommunity Liaison.

•Collaborates with theOGSLteam & GSA Executive Board to implement GSA’s mission.

•Attends weeklyOGSLteam meetings, monthly Senate meetings, GSA Social Hours,GraduateStudent Week events, theGraduateResearchConference, and TheGraduateSchool events. Works 20 hours per week staffing the office.

•Maintains and develops knowledge of theGraduateStudent Handbook, TheGraduateSchool policies, and GSA policies.

This is a 20-hour/week assistantship including tuition remission for Spring, stipend for Spring AY17 and GA health insurance.
