Meeting Minutes

The group discussed the followingtopics.

Resident Input

Ronnie Wynn suggested that the legal documents be reviewed in preparation for a future transition.

Margaret Hewlett expressed concerns about the landscape maintenance in her yard and the construction site next door. She also talked about non-Association matters with her home and her purchase process. Kelly is to follow up with the landscape maintenance crew on edging, blowing and weeding her beds and discuss debris and construction completion with the builder next door. Margaret will consider hiring an irrigation specialist to get her irrigation system operating the way she wants. Both Kelly and Margaret will continue to monitor and keep in touch over the coming weeks and months.

Transition Consent

Kelly reported that71% of the Association Members have consented to the transition extension and she anticipates receiving more over the coming weeks. Sam will be prepared to answer questions about the transition amendment at the Association meeting Thursday night.

Real Estate

Kelly reported that Grove Park Realty is in place and getting geared up with signage, etc. George Goodwyn Jr. is the broker and Kelly is the salesperson.

The group discussed an incentive for new construction whereby home purchasers of new construction would pay discounted dues of $200 per month for some period of time. All agreed on a maximum of 18 months and limiting the incentive to the first 10 new homeowners.

Sam recommended realty information signage at the Information Center.

Association Meeting Agenda

The group discussed the following agenda for the fall Association meeting.

  • Alex Jones will do a brief report on Facebook, Nextdoor and the Halloween event.
  • Mike Knight of Landscape Workshop will do a grounds report and Hal will be available for irrigation questions.
  • Sales and Construction
  • Grove Park Realty has been incorporated and is officially in business.
  • We've had 5 homes sell in the last 4-6 months and have 2 more sales pending now.
  • The Goodwyn Building home under construction on Oak Grove Circle is scheduled to start brick and insulation next week.
  • Consent to Amendment - 71% as of now
  • Neighborhood Improvements and Tidy-Up
  • Tree replacement - We are replacing 14 trees that have declined over the years.
  • Pruning of trees will be done this winter, probably January. Hal will concentrate on the Elms on Young Meadows Road and various other species throughout the neighborhood.
  • Painting - We have freshened up paint at the Information Center, clubhouse arbor and fishing pier. Next, we plan to paint the swing arbor and new swings.
  • Tidy up - Hal and Tyler cleared the north loop trail of intruding and overhanging plants and trees, and they are currently adding gravel to the walking trails where needed. They've spent some time sprucing up The Farm area and will focus on barricade repairs next.
  • Signage - Directional signs, for the clubhouse and Oak Grove Inn, have been ordered along with some replacement signage for the gatehouse and trails.
  • Street Light - A street light has been added to the clubhouse parking lot.
  • Garden plots and woodworking shop

  • Financial reports will be available for pickup. Budgeting for 2016 will be done in November and published by December 1, 2015.

Homeowner Recommendations

Kelly distributed letters from two homeowners. The RAB will reviewand be ready to discuss them at November's RAB meeting.

The next RAB meeting is scheduled forNovember 17that 9:00 am.
