Electronic Gift Certificates

GC’s that are ordered on the web now can be delivered the very next day (or a future date if the customer prefers) to the customer (or to a recipient of their choice) via email! When the customer places the order they will be prompted to complete some information for the delivery of the EGC (*Note – This information has to be completed for each GC the customer orders).

The recipient will receive an email indicating they have been sent a gift card along with a Gift Card Number & Pin. This information is used to place the order online or via GQ.

The GC can be redeemed online or in GQ.

The customer can check the balance of their EGC on the checkout page (above) or on the product page (below).

If the customer has an existing paper GC and wants to redeem it online they can call or chat with us and we can convert it to an EGC. Go under the Order Entry tab in GQ and select Convert Gift Card for Online Redemption.

You can also resend the email acknowledgement from GQ.

Click the email acknowledgement icon .

Then select Gift Cards.

Paper Gift Certificates

If a customer calls in to place an order for a gift certificate (item GFT001 or GIFT 100 (example of $100 GC)) this will produce a paper GC versus an EGC. You can advise the customer that you would be happy to place the order but they can take 7-10 days to receive the paper GC if you enter it versus if they place the order on our website. Orders placed on the website can be sent as early as the following day (after we run CC’s a bit after Midnight).

Processing Paper Gift Certificates

1.  Scan and save a copy of the GC as an attachment on the order. We typically save the file as GC and then the GC # (ex. GC10004536).

2.  Check the order in GQ for Order Notes from the rep.

  1. If the rep indicates the customer wants the GC e-mailed send an e-mail to the inputting rep that the GC is attached and the rep will send a copy to the customer.
  2. If the rep indicates the GC is to be converted to an EGC then e-mail the rep once the GC is attached and the rep will take the steps to convert the GC to an EGC.
  3. If the rep indicates the GC is to be expressed see below for UPS instructions.

3.  Depending on the value of the GC or the ship method the customer has selected determines how we send out the GC.

  1. Less than $100
  2. These are sent USPS. Just put the GC(s) in a regular window envelope and send.
  3. $100 or more (total value of GC’s to 1 location) or customer selected express shipping (per Order Comments note).
  4. These are sent UPS. See UPS instructions below.

UPS Instructions

1.  Log into UPS Campus Ship (https://www.campusship.ups.com/cship/create?loc=en_US) to Create A Shipment.

2.  Step 1 – Where is the shipment going?

  1. Click the link for Enter New Address and complete all the information.

3.  Step 2 – Where is this shipment coming from?

  1. Chang the Contact to Customer Service.

4.  Step 3 – What are you shipping?

  1. Change the packaging Type to Other Packaging.
  2. Enter the weight as 1lb.

5.  Step 4 – How would you like to ship?

  1. Default is UPS Ground, even when a customer selects express. They are paying for UPS rather than having the Postal Service mail it.

6.  Step 5 – Would you like to add reference numbers to this shipment?

  1. In Reference # 2 enter the order number from GQ.

7.  Step 6 & 7 leave the defaults and click Next at the bottom.

8.  Now you will Review Your Shipment Details.

  1. Review all the information and click Ship Now.

This will complete the shipping label and create a pop-up with the label.

1.  You will need to print a label and apply it to one of the Express Envelopes (even if it is a Ground label).

2.  Attach a copy of the shipment label to the order in GQ and title it GC UPS Shipping Label or place the tracking number in Order Comments on the order.

Retail Store/Service Center Gift Cards

We can accept gift cards that are issued in the retail store over the phone.

1.  Select Gift Certificate as the payment method.

2.  Enter GQ before the code number that is on the back of the gift card (ex. GQ0012345) * The Retail Gift Card should be a 7 digit number, if the number is less than 7 add 0’s to the beginning of the card number after GQ.

3.  Hit the tab button to display the amount available on the card.
