Equipment checks made by individual user before commencement of work. Equipment erected by experienced erectors only. Any faults or defects are to be immediately reported and not used until repairs have been carried out by a competent person. Do not attempt to repair.
Supervisors are to ensure that all gazebos/equipment is erected and fitted correctly
Erection of gazebos and equipment is to be carried out at a time when the risk is at its lowest preferably early morningwhen there is very little public and vehicle movement.
Staff are to be aware when erecting gazebos and equipment of their environment and surroundings ensuring appropriate caution is taken. Where required access will be restricted. Staff are to be aware of vehicle movements. Where there is the potential for traffic movement staff must ensure that high visibility vests are worn
Personal protective equipment should be used; High viz coat/vest and steel toe cap footwear.
Dismantling of gazebos and equipment when the event is closed and there is minimum public within the area.
Staff to be more vigilant and aware of public movement when equipment is being dismantled and removed.
Gazebos and all equipment must be stored immediately in the trailers.
Organiser and Contractor to carry out final check of equipment and sign Equipment Checklist Annex 2
Good housekeeping standards are to be maintained at all times. Tools, pieces of gazebo, equipment etc must not be left lying around. Any spillages must be cleared immediately.
All tools are hand tools and are visually inspected before use. Any defects are immediately reported and tools not used.
Gazebos are to be secured as per safe system of work.
Weather conditions must be assessed before erection of the gazebo takes place. Reference to weather risk assessment and working outdoors risk assessment.

Existing control measures
Erect gazebo to manufactures guidelines; one gazebo at a time securing all legs with the recommended amount of weights. Outside legs 3x15kg =45kg plus middle legs 3x15kg= 45kg
Ground anchors to be used (if fitted) at all times
Ensure safe working practices are followed.
Weather forecasts to be monitored prior to and during event (BBC, Local stations).
Wind speeds measured with the calibrated Anometer
Action to be taken if Wind is a concern before erection team erect gazebo on site.
Gazebo erection team to contact event organiser immediately through the established contact mobile.
Action to be taken if during an event/market if the wind speed increases.
Event organiser to be in event location at all times during the event to fully assess the situation.
Wind Speed to be monitored and readings recorded.
Event organiser to contact gazebo erection team putting them on immediate standby for a possible closure.
If the general wind strength begins to cause concern, immediately inform the gazebo occupier and all relevant staff.
If action is required,
Separate the velcro fastenings and part pull down the side/back sheets to create at least a half metre gap for the wind to ‘escape’,– if necessary further increase the gap or remove the sheets entirely (they need rolling up and storing to prevent damage and trip hazards).
Maintain wind speed monitoring and recording.
Cancelling the market
The market should be cancelled if the wind speed is constant and in excess of 20 mph for a weighted frame or 25mph anchored frame.
Regular gusting winds must be monitored very closely and the market cancelled if they exceed the recommended wind speeds. (20 mph weighted frame or 25mph anchored frame)
Action to be taken in the event of a full closure
Advise all stall holders to start preparing stock for the closure of the event
Contact gazebo erection team to come to site immediately.
Contact TC CCTV control that traders vans require early access onto site
All goods should be readied in preparation for the controlled access of trader vehicles, reducing the loading times
Trader vehicles will be allowed on site under full control of the event organiser when the gazebo erection team are in location.
Traders vehicles depart site under control
Gazebo erection team de-rig gazebos in order of priority according to wind strength.

Portable Appliance test (PAT)
Plug individual appliances into the generator using heavy duty, outdoor rated cords with a gauge adequate for the appliance.
Always ensure that electrical lighting harnesses are complete, linked together and all bulbs inserted before attaching main power socket to generator.
Never use the generator indoors, only operate the generator outdoors in a well-ventilated area
Refuel outside in a well- ventilated area with the engine stopped and cold. Do not smoke or allow flames or sparks in the area where the engine is to be refuelled.
Wear impervious disposable gloves (EN 374)
Do not over fill the fuel tank (there should be no fuel in the filler neck)\after refuelling; make sure the fuel cap is closed properly and securely.
All spilled fuel must be cleaned up immediately and the area fully dry before restarting the generator.
Let the engine cool down before storing it indoors.
Cover all cables with cable cover to avoid tripping

Annex 1
Existing Control Measures
Prior to starting work with HFL, quantities will be estimated to ensure that only minimum quantities are ordered. A suitable fire resistant store will be provided for HFL. The store will be signed accordingly.
HFL will be kept in suitable containers clearly marked. For petrol, this will be a metal container of 10 litres maximum capacity. Containers will be kept secure; where HFL vapour is foreseeable no ignition source will be present (use of intrinsically safe lighting) HFL storage areas will be kept clear of combustible materials. Spillages will be cleaned up immediately and materials disposed of safely. HFL will not be used for unauthorised purposes.
HFL’s kept on motor vehicles will be kept in suitable containers clearly marked. For petrol, this will be up to five 10 litre maximum capacity metal containers. All containers must be constructed so as to be reasonably secure against breakage and to prevent leakage of liquid or vapour. They should be clearly marked with the words “petroleum-spirit” and “highly flammable”. These containers shall be stored in a suitably labelled locked steel container securely attached to the vehicles bodywork.
Supervision will ensure that storage areas are adequate and are maintained to a specified standard. During inspections checks will be made to ensure HFL is being used properly, that spillage’s are dealt with promptly and that the correct fire precautions are in place.
Operatives must be trained in the safe use of HFL & of fire extinguisher’s AFFF
