Terms of Service

Access Policy

The policy for assigning special borrower cards is set by the Harvard College Library Privileges office, and all library users are subject to the terms of theHCL Patron Agreement. For that reason, each year, participating journals must complete an application form which includes the names of the Editor(s)-in-Chief responsible for journal publishing and the location of the secure journal office/storage space where books will be stored during the loan period. Harvard Law School Library Staff will submit that form to the Harvard College Library Privileges Office for consideration.

Each journal cleared for participation will receive two cards, one which will be held locally by the Harvard Law School Library staff to facilitate book retrieval, and the other will remain with the journal staff if they wish to borrow items directly without submitting a FRIDA request. The cards must be returned to the Harvard Law School Library at the end of the academic year. Since this is a pilot program, participation is not guaranteed each year and will be offered on a discretionary basis by the Harvard Law School Library.

Retrieval Policy

Once a journal has been selected for participation in the pilot program and has obtained special borrower cards, they must submit a request to for book retrieval and delivery. FRIDA will not retrieve articles, cases, or any material other than books that are available for circulation. Journal staff may be required to obtain items through alternate means, such as Borrow Direct or ILL if the book is not available through the Harvard Library system. FRIDA staff will attempt to facilitate alternate borrowing options, but such items are not guaranteed as part of the pilot program.

Submissions must be submitted at least 2 weeks prior to any scheduled subcite in order to facilitate timely book delivery. FRIDA staff can attempt to facilitate rush requests in limited circumstances, but the library cannot guarantee a specific delivery date for items. FRIDA staff will check out books using the journal’s special borrower card and deliver them to the journal’s secure office location. Journals must provide access to their offices for FRIDA staff by coordinating via email prior to delivery and being available to unlock secure space.In addition, for this semester only, there will be a limit of 75 books per journal that Frida will retrieve.

Storage Policy

All items checked out to a journal’s special borrowing card must remain in the journal’s secure office space or in the library for use during subciting. Journals participating in the pilot program will not be eligible for subcite shelf space inside the library. Journal staff are responsible for transporting items to and from the subcite and storing them in secure office space when not in use. The journal will be responsible for loss, damage, and overdue fines associated with the items.

Items that have been checked out using a journal’s special borrowing card (either by journal staff or FRIDA staff) are subject to recall by other patrons. Harvard Law School Library staff will attempt to intercept recall notices and direct other patrons to alternate sources of material, but if no alternate source is available, journal staff must return the item to the library within 10 days of receiving the recall notice or be subject to fines. Journal staff can request that FRIDA scan requested page ranges from recalled items that are still needed for subcites. FRIDA staff will send those scans electronically to the requesting staff member.

Return Policy

The journal staff will receive notices regarding item due dates and are ultimately responsible for making sure items are returned before the due date. Journal staff can email to schedule a pick-up of items from the journal office and FRIDA staff members will come and retrieve the items. Alternatively, journal staff can deliver items to the Harvard Law School Library circulation desk for return.

Continued participation in the pilot program is contingent on adherence with this policy as well as any and all requests from Harvard Law School Library staff members.
