Frequently Asked Questions – Change of Campus (COC)

Who can process a COC request?

Only undergraduate students can apply for a Change of Campus. MED, GRAD, LAW, Non-credit, and Non-degree high school students will receive a message indicating the online application is not available for their use.

How does a COC get started?

Students can (and should!) initiate their own COC request. Students access the COC request throughUpdate Campusin their student center. A drop down box on the left-hand side of the page will allow them to click on Update Campus, hit the “go” arrow next to the box, and then view and complete the COC application.

What if I can’t fill out the COC myself?

There will be at least one person at each Campus or College who can initiate a COC request for a student in the event circumstances prevent them from doing so. Information on who can do that for each College/Campuses can be found at:

What are the parameters for an automatic COC response?

Students must be in a major, have between 44.1 - 74 credits at the beginning of the term, and request a permanent change of campus to a campus where their major can end.

What does a COC review response mean?

Anyone requesting a COC that falls outside of the 44.1 - 74 credits automatic approval window will receive a COC two-part review notification. A two-part review requires approval from both the sending campus and the receiving campus. If either campus denies the COC, the student will be denied.

How soon will I receive a COC response?

Automatic approvals happen immediately. If a student does not fulfill the designated parameters for an automatic COC, they will receive immediate notification that the COC request will be reviewed in a two-part process. The amount of time required for this type of review will vary by college or campus.

If my COC request is denied, when can I request another COC?

At the present time, students are not limited to the number of COC requests they can make per term. If a student submits multiple requests in an attempt to change campus without a valid reason,a conversation regarding the appropriateness of their COC requestswill be initiated.

How do I request a temporary COC?

The COC request form accessible via your student center can be used to request a temporary or a permanent COC. A temporary COC request willalwaysreceive a COC review response. Please provide a good explanation of your need for a temporary COC. The explanation will likely weigh heavily in the decision process.

Can I file for a permanent COC if I’m still in PMAJ status?

Yes. You are, however, encouraged to change your major via Update Academics before filing a COC request if at all possible. All students in PMAJ status will receive a COC review response.

Can I file a COC if my COM is still pending?

If a student has a pending Change of Major (COM) request in Update Academics, they cannot submit a COC request. They need to wait until they receive a response prior to submitting a COC request. If a student has a pending COC request, they cannot submit a COM request in Update Academics until they receive a decision on their pending COC request.

Can I file a COC if my Change of Major response is conditional?

Yes. If you receive a conditional response in Update Academics, you should file a COC request.

How will I find out if my COC has been approved or denied?

Approval or denial results in an immediate email notification to the student informing them of the final decision. Email notification occurs as soon asa final COC decision has been made.

What do I need to do when I receive an approved permanent COC request?

In the event of an approved permanent COC, student records in regard to campus location for the next semester will be updated automatically. Students are responsible for enrolling at their correct campus when their enrollment appointment opens.

What do I need to do when I receive an approved temporary COC request?

In the event of an approved temporary COC, student records in regard to campus location for the next semester will be updated automatically. You are responsible for enrolling at the correct campus when your enrollment appointment opens. Students who are approved for a temporary COC will automatically be “returned” to their home campus for the following term. The process to “return” a student to their home campus will be run in time to enroll at their appropriate campus for the next term.

How long does the COC process take?

There is not a defined time limit for COC request approvals/denials which occur during the COC review process. Due diligence and investigation into each student’s request can take time. While the approval process can be performed in one day, approvers are encouraged to take the time needed to thoughtfully consider each COC request.

How do I cancel my COC request if it’s under review?
