Task 1a
For your homework you were asked to collect a copy of a business letter.
1.Next you need to analyse your business letter and write a report on it. You need to write about the content, layout, purpose of your letter and evaluation.
- Open a new Microsoft Word Document.
- Save it as Letter Analysis
Content
- What is your letter about?
- Does your letter tell you of any services that the company provides?
- Does it use formal language? Or is it informal?
- Is it easy for you to read/understand? Why?
Layout
- Is the letter presented on A4 paper? Is it portrait or landscape?
- What font size, font style does it look like?
- Write about the main part of the letter – are there paragraphs? Are they small and sharp or long and detailed? Any bullet points used to make important information stand out? What alignment is used – left align, fully justified?
- Any sub – headings used? If so, are they bold to make them stand out?
- Describe what you see on your collected letter. Where is the company name? Does the letter have a logo? If so where is it? Describe it – does it stand out? Where is the address? Where are the company details – telephone number, fax number, email address, web site address? Describe them are they in italics, bold? Where is the receiver’s address?
- Are there any signatures on the letter?
- Anything at the bottom of the letter, for example a footer? What does it say?
Purpose
- Why do you think that the letter was written?
- Is it to tell you about something? To persuade you to buy something? Is the letter advertising something?
- Does it ask the user/customer to do anything, for example to contact the company?
Evaluation
- Is the document well written?
- Is it clear? Is it easy to read?
- Does your letter explain what it’s about? Why?
- Would you improve your collected letter? Would you change the layout of it? Would you change the font size? Would you make certain parts of the letter bold, italics?
- Why would you make these changes? Is it to make certain parts of the letter more attractive, more eye – catching, would it highlight the more important parts of the letter?
