Position: Network Administrator

Description of role:

Installs, configures, maintains and supports an organisation's network environment. The role includes inventory documentation, resolution of network faults, security and the allocation of server resources in ensuring optimum network performance. The scope of the role can also include the design and support of server systems and software, system back-ups and the planning and implementation of software and hardware

Description of role:

A Web Developer:

  • designs web applications
  • develops web applications in various languages, and
  • creates and scripts databases for web delivery.

Brief description of technical skills:

A Web Developer requires knowledge of web programming languages like Java and C++, knowledge of web technologies such as HTML, XML, ASP, Javascript, etc, good consulting skills, knowledge of databases and scripting languages such as SQL, Cold Fusion etc., a knowledge of delivery platforms, an understanding of web server technology, a knowledge of graphics production and integration, a depth of industry knowledge and an ability to work to a project plan.

Brief description of non-technical skills:

A Web Developer needs an ability to self-motivate, should enjoy working alone and in a team, have good analytical skills, like keeping abreast of new developments and must be innovative and creative.

Position: Project Manager

Description of role:

A Project Manager:

  • manages and oversees an IT project
  • determines project scope (what the project includes) and cost
  • estimates resourcing needs, and
  • determines timeframes for delivery.

Brief description of technical skills:

A Project Manager must have an ability to lead a team of IT specialists to complete the project deliverables on time and within budget. They need to be able to document project plans using the relevant standards and software like MS Project. A depth of industry knowledge is required, as is knowledge of the System Development Lifecycle. A Project Manager also needs a knowledge of project management standards.

Brief description of non-technical skills:

A Project Manager needs good leadership skills, an ability to manage a project’s financial situation, excellent interpersonal skills, good problem solving skills, must be well organised with excellent planning skills, enjoy detail, have an ability to manage a team, see the big picture, to influence and inspire, be concerned primarily with results and have an ability to chair and facilitate meetings.

Subject:New User Application Procedure

Julia,

I found some inconsistencies between the procedure and what actually happens.

  • Supervising staff are not filling in the form 3 days before the new staff member commences.
  • More often than not the new staff member fills in the form after they start
  • This means that the new staff member has to sometimes wait almost a week before they can access the network.
  • Account creation should only take a maximum of 48 hours
  • IT services is phoning the account creation details through, sometimes to the new staff member, and sometimes to the supervising staff member.

Problems to investigate:

  • Check whether 3 days is reasonable lead time to expect supervising staff to complete form
  • Check whether 48 hours is sufficient time for IT Services to create account.

Suggestions for updating the New User Application Procedure

  1. Possible modification of timeframe depending on result of investigation.
  2. Contractors get treated the same way as full-time employees and their logins are usually still operational long after they leave. This is a problem because they could still access the network after they leave. A separate field should appear on the form which identifies the staff member as permanent of contractor, and specifying a contract end date, after which access should be terminated (say, one week after the end date).
  3. Procedure should include the fact that the user ID is based on the first initial and surname.
  4. The procedure does not include guidelines on applying for access to specific software, network drives, and so on. At the moment, it is up to the supervising staff member to include this information on the form, as well as any access that might require the approval of the IT manager.

Further suggestions

  • General memo should be sent to all supervising staff and IT services staff reminding them of the appropriate procedure and timeframe for new account applications, highlighting the problems such as lost productivity time for new staff members who have to wait for network access.
