Main purpose of the job
The main purpose of this role is to support the work of the Effectiveness and Learning Team, in strengthening the ability of international development organisations to innovate, adapt and learn. The role will also provide administrative support for internal functions such as monitoring of Bond’s services and systems support for Bond’s fundraising. The post sits within Bond’s Effectiveness and Learning Team of seven, whose work focuses on organisational effectiveness, funding, transparency and accountability, foresight and innovation.The Effectiveness and Futures Assistant will work alongside and be managed by Bond’s Effectiveness and Learning Adviser, who is responsible for running Bond’s programme on monitoring, evaluation, accountability and learning (MEAL).
Main responsibilities
Support for Bond’s futures and effectiveness programme
· Support colleagues in planning and coordinating events (in collaboration with events staff in the Membership and Communications team)
· Provide logistical support for selected Bond working groups such as the Monitoring, Evaluation and Learning (MEL) and Futures and Innovation Working Groups
· Identify and produce engaging new content for the Bond website, including regularly sourcing new resources, articles and blogs that will be of relevance and interest to Bond’s members
· Promote and support users’ engagement with Bond’s tools; take responsibility for the evolution and accessibility of these tools, and for associated analysis
· Assist in writing and developing accessible resources such as blogs highlighting key issues for members, showcasing good practices or emerging trends
· Support the Effectiveness and Learning Team colleagues in communicating the importance of, and business case for adaptation, innovation and learning in contributing to lasting impact
· Support the Effectiveness and Learning Adviser in carrying out ad hoc research and analysis on key areas of organisational effectiveness
Communication
· Ensure website content is uploaded and published on time, working with Bond’s communications team, and collaborate on resolving data or technical problems
· Coordinate with the Communications team in marketing and promoting effectiveness and futures services and products to current and new audiences
· Manage enquires from Bond members and other stakeholders, including being a first port of call by managing general information on effectiveness and futures.
Fundraising
· Oversee maintenance of prospective and current donor records and fundraising prospects, liaising with Bond teams to ensure all records are updated accurately and promptly
· Support the Director of Effectiveness and Learning and the Funding Adviser in managing Bond’s fundraising as requested, by preparing occasional briefs on potential donors and prospects, including philanthropists, foundations, and corporations, using online services and other resources.
Internal effectiveness (monitoring, reporting, learning)
· Work with the Effectiveness and Learning Adviser to establish and maintain reliable cross-Bond monitoring, reporting and learning systems and approaches, supporting consistent practice across different teams and a high-quality customer experience
· Lead on team induction on the use of Salesforce* and provide ongoing technical and administrative support to the team on its consistent use.
· Contribute to the collation and timely submission of management information for teams, senior leaders and donor reporting
Logistical and Administrative support
· Support team meetings and away days (logistics, minute taking etc.)
· Support diary management for senior members of the team
· Undertake other administrative tasks for the team, including writing up notes, printing documents, and filing
· Process and raise invoices for the team, ensuring regular monitoring of spend and accurate coding of expenditure
· Undertake monitoring of team expenditure and income through Financial Force*, as directed by the Head of Innovation and Learning.
* The successful applicant will be fully trained on how to use Salesforce and Financial Force, so no prior knowledge is needed.
PERSON SPECIFICATION
Essential
· Ability to work flexibly as a member of a small team, as well as independently and on own initiative
· Good written communication skills and a proven track record in producing high quality written materials displaying a high level of accuracy and attention to detail
· Ability to analyse and synthesise information from a variety of sources – identifying key points, drawing conclusions and presenting in a clear and concise format
· Highly organised, efficient, able to manage competing priorities and meet deadlines
· Experience of developing, maintaining or improving systems for monitoring or other data management
· A good level of numeracy and the ability to work with financial information
· Willingness to get stuck into whatever the day brings whether it is booking venues, preparing for a workshop, writing a good practice blog or giving some advice to a Bond member
· Strong interpersonal skills
· Good digital literacy (systems including MS Office, social media, communications and mind-set)
· Drive, creativity and innovative mind-set and a positive, can-do attitude
Desirable
· Understanding of the international development sector
· Experience of a customer-facing role
· Experience of working in a membership organisation or network
· Experience of CRM systems/databases
