Job Description

POST:Senior HR Administrator

ALLOWANCE:Grade 5

HOURS:37 hours per week term time plus 3 weeks to cover long term absence until 31st August 2018

ACCOUNTABLE TO:Deputy Headteacher – Staffing

PURPOSE OF THE POST:

To provide a professional and efficient personnel support service all staff and to assist with health and safety issues.

MAIN DUTIES AND RESPONSIBILITIES

RECRUITMENT AND SELECTION

  • To produce documentation relating to recruitment including the advertisement, the job description and information for applicants
  • To arrange recruitment advertisements and co-ordinate the recruitment day programme
  • To send out recruitment packs to candidates and record applicant details when applications are received
  • To copy and distribute applications to the Headteacher and recruiting managers
  • To invite successful applicants to interviews and notify unsuccessful applicants that they have not been chosen for interview
  • To apply for references for interview candidates
  • To arrange and co-ordinate the interview day including assisting with interviewing as required
  • To manage all documentation relating to appointments, including DBS checks, Single Central Record
  • To arrange and carry out the Induction Programme when new employees commence employment.

PERFORMANCE MANAGEMENT

Performance Development Reviews (PDRs)

  • To co-ordinate the Performance Development Review (PDR) process for staff. This will include:
  • Producing PDR record forms and issuing to PDR managers
  • To set a deadline for the completion of the PDR’s with the Headteacher and ensure the PDR managers are aware of the date.
  • To manage the progress of the process and co-ordinate all PDR forms for the Headteacher to review
  • To complete any documentation relating to point increases with the Headteacher and ensure that staff are informed and payroll have the correct information.
  • To conduct PDRs with own staff in accordance with the School’s policy and procedure
  • Conduct “Return-to-work” interviews after staff absences.

Disciplinary Issues

  • To provide advice and guidance to managers relating to disciplinary issues in accordance with the School’s policy and procedure
  • To inform the Headteacher of any disciplinary issues
  • To undertake disciplinary investigations as required.

Training

  • To arrange and record training courses in line with the School’s procedure
  • To ensure that staff are aware of training courses they are due to attend and that they have any relevant documentation
  • To ensure that staff are aware when staff are absent on training courses

PERSONNEL DATA

  • To accurately maintain the support staff data on SIMs and EPM Portal
  • To produce reports as required from SIMS
  • To produce reports as required relating to staff data
  • To maintain and update the School’s Single Central Record, ensuring all documents are copied and information is up-to-date.
  • Keep accurate records of staff absence

LINE MANAGEMENT

  • To supervise and lead administration staff in Reception and the School Office Administrators
  • To plan and co-ordinate their activities and ensure roles are covered during absence
  • To carry out Performance Management Reviews
  • To address any minor disciplinary and/or grievance issues
  • To ensure that the services provided by each area fully meet the requirements of the school and to introduce new working patterns and practices when required

HEALTH AND SAFETY

  • To work in conjunction with the Premises Manager to ensure that Health and Safety requirements are met. This will include carrying out Risk Assessments and communicating health and safety issues to staff as required.

OTHER

  • To recommend suggestions for improvements to the Headteacher and Senior Leadership team
  • To handle employee relations issues which may sometimes be sensitive with tact and diplomacy and raise awareness of serious issues to the Headteacher and/or a member of the Senior Leadership Team
  • Authorise overtime and casual hour payment to support staff, ensuring entries are correct and sent to EPM by the deadlines. Liaise with EPM and staff to iron out any queries on payment, chasing non-payment, updating bank details etc.

The Senior HR Administrator is expected to conduct themselves in a highly professional but approachable manner, setting the standard to their subordinates.

The Senior HR Administrator may delegate certain tasks to other members of staff to ensure that their job requirements are met, whilst maintaining full responsibility for the outcomes and achievements.

Essential / Desirable
Qualifications and Experience / Hold recognised training/qualifications associated with Human Resource Management
The ability to understand and apply regulations in accordance with Employment Law
Staff management experience / Significant experience or skills in managing the personnel administration of a large institution.
Knowledge of School HR and contract arrangements
CIPD Qualified
Ability/skills/ knowledge / GCSE grade C or above (or equivalent)in Maths and English
Good communication skills, both written and spoken.
Good IT skills, report-writing.
Ability to gather information, analyse data and problem solve.
Ability to manage own time effectively and demonstrate initiative, including establishing priorities
Ability to prioritise and manage workflow whilst maintaining a flexible approach to respond to urgent requests
Ability to manage people directly and indirectly, carrying out performance reviews.
Ability to adapt to changing and conflicting demands
Ability to be flexible and work as part of a team or individually as required
Ability to adhere to the school’s policies and procedures and most importantly the equal opportunities policy, child protection policy and all health & Safety related policies.
Ability to comply with Health & Safety regulations to ensure all duties are carried out safely. / A Levels or higher, qualifications
RSA Typing or equivalent

CRITERIA:

The successful candidate will be able to demonstrate they can be exceptionally well organised with excellent communication skills, able to work well under pressure and to cope with high volumes of work at key times in the school calendar. They will be expected to have a flexible, positive approach, have good team-management skills, and undertake a wide-ranging remit.

INTERVIEW PROCESS

Interviews will be held on Thursday 7th December from 9.30am .

The purpose of the interview is to assess your suitability for the above post and give both the panel and yourself an opportunity to gain further information before making a successful appointment. It is also an opportunity to seek clarification on information which you have provided on the application form and accompanying information. The interview will assess your suitability to work with children and will include questions relating to safeguarding and promoting the welfare of children.
