Job Purpose: To provide administrative support to the Initial Teacher Training programme.

Principal Accountabilities:

1.  Deal with enquiries in an efficient and effective manner, whether face to face, by telephone or correspondence (letter, email, memo), or by referring to another member of staff where appropriate.

2.  Maintain accurate and secure student records, whether electronically or in paper form.

3.  Assist in the administration of recruitment, admission and induction events and procedures.

4.  Produce documentation relating to the Schools’ Partnership to agreed deadlines and standards.

5.  Produce accurate correspondence with students.

6.  Service meetings, including the preparation and distribution of agendas, minutes and other supporting documentation, booking rooms and catering, as appropriate.

7.  Assist in the planning and running of interviews for Initial Teacher Training programmes, Mentor Training and other events involving partner schools.

8.  Responsible for the student/school placement match-up process and generation of relevant documentation to students and schools facilitate this.

9.  Compile and provide to finance details of payments to be made to placement schools and Associate Tutors.

10.  Service other committees and groups as required by UCP or the Faculty.

11.  Assist in the monitoring and recording of student attendance in placement schools and provide follow up correspondence.

12.  Assist in the allocation, recording and distribution of materials to students as required by external professional bodies.

13.  Become fully conversant with our University’s IT and administrative systems, following appropriate and continued training.

14.  Have a good understanding of and be able to input, retrieve and interpret information from the student database, following appropriate and continued training.

15.  Ensure effective communication with students, staff in the Faculty and other Support Services, partner schools, LEAs and external bodies, using all available University systems.

16.  Have a broad understanding of the University, its procedures, rules and regulations.

17.  Be personally aware and operate within the constraints of the Data Protection Act, within the limitations of your own responsibility.

18.  Provide cover and support during staff leave or during peak periods.

19.  Undertake staff development and training as required

20.  Such other duties temporarily or on a continuing basis, as may reasonably be required, commensurate with your grade.

Conditions of Service

The terms and conditions of employment are the responsibility of the Board of Governors.

(a) Salary

Grade 3, £19,645 - £22,765 per annum pro-rata paid monthly in arrears by credit transfer. Commencing salary will be determined according to qualifications and experience.

(b) Hours and Time of Duty

The normal hours of work are 18.5 hours per week (Monday to Friday) at times as agreed with the Head of Department. If the nature of the work so requires, the jobholder may from time to time be required to attend meetings or do other work outside normal hours. Remuneration for overtime may be payable.

(c) Holiday

The holiday year runs from 1 September to 31 August. In addition to the Statutory

Bank Holidays, local discretionary holidays, and days when we are closed in the interests of efficiency, annual holiday entitlement will be 24 days. If employment commences part way through the holiday year, entitlement will accrue on a pro rata basis for each complete calendar month. Holiday entitlements for part-time staff will be calculated according to the number of days and/or hours worked.

(d) Medical

Unless otherwise stated, the appointment will be subject to medical clearance.

(e) Pension

The jobholder will be eligible to join the Local Government Pension Scheme.

(f)  Normal Retirement Age

We operate a retirement age of 65.

(g) Probationary Period

The first 6 months of the appointment will be a probationary period during which your

suitability for the position to which you have been appointed will be assessed. We reserve the right to extend your probationary period if, in its opinion,

circumstances so require.

(h) Date of Appointment

The position is available immediately once all conditions have been met.
