BY PROVIDING A TEAM OF VOLUNTEERS FOR A SPECIFIED TASK or TASKS

Club Package 1: Infrastructure Support Team 10-20 min 10 Up to $1,500
Club Packages 2A: Table Setting Team 10-25 min 10 Up to $ 1,000
Club Package 2B: Food Service Team 15-20 min 15 Up to $ 1,000
Club Package 3: Drink Service Team 10-15 min 10 Up to $1,000
Club Package 4: Dish Scraping Team 8 – 10 min 8 Up to $ 750
Club Package 5: Sanitation Maintenance 2 - 4 min 2 Up to $ 250
- The event: Some 520 guests are expected –seated at 26-or-so long tableseach with 20 guests. Volunteers should have a good level of fitness, be efficient, be able to work comfortably on grassed surfaces, have a friendly/happy disposition, be committed to ensure high quality service for all guests and be prepared to follow the directions of the Manager.
Hours volunteers teams are required are varied – please see below.
- Appointment of Coordinator: Your Club should appoint a Coordinator who will be responsible for all communication between your Club and CLTL,rostering your members and ensuring all team members comply with all CLTL event components many of which relate to licensing, insurance, health and safety regulations and other 3rd party agreements.(This will apply even if your Club has its own insurance.)
- Note/Important: If/when your Club is selected, every member of your Club volunteer team will be required to complete a Volunteer Registration Form and return this toyour Club Coordinator who will ensurethe Chefs Long Table Committee Volunteer Coordinator has full details well before the event. An agreement outlining tasks and expectations will be provided to Club Coordinators in due course.
- First right of Refusal: Chefs Long Table Committee reserves the right to offer a Club first right of refusal to undertake Volunteer Package tasks they have performed at earlier CLTL events.
- Which tasks should you apply for? You are welcome to apply for more than the one task if you have sufficient volunteer numbers. You may also apply for part of a task/granteg you have 5 out of the required 10, however, preference will be given to Clubs that can fulfil the requirements for any task as outlined. Where two or more Clubs provide the required number of volunteers, the grant monies will be shared proportionately.
- Sharing with another Club: You are welcome towork in cooperation with another Club in which event, only one Coordinator should be nominated.
- Beneficiary Volunteers distinct from Community Support Volunteers: Clubsselected as 2018 Beneficiaries will not be eligible to apply for a Community Support Grant, rather volunteer involvement is a part of the Beneficiary commitments.
Timelines: Expressions of Interest on the attached form should be returned by 30th November 2017 to. Selected Clubs will be advised mid December.

Individual volunteers are also welcome for these and other critical roles that make up Bunbury’s leading annual charity event – the Chefs Long Table Lunch – see registration form on this website. We certainly encourage those who have helped staff the event in the past to nominate again! These grants are designed to boost our volunteer numbers to ensure excellent service is provided to an ever-increasing number of guests. A Certificates of Participation is presented to each volunteer who assists at the event – valuable for personal employment or training portfolios.

Club Volunteer Package No. 1:
INFRASTRUCTURE SUPPORT TEAM
Community Support Grant to your Club: Up to $1,500
No. volunteers required: 10-20 (minimum 10) Various days and times
Tasks: Under direction, assist in setting up a cluster of marquees and other event infrastructure
Days/Times:
(i)Thursday 22nd February 2018 : 5 volunteers needed between 8.00am – 4.00pm
Readying site and equipment
(ii)Friday 23rd February 2018 : 5 volunteers needed between 8.00am and 12 noon
Thursday and Friday is dedicated to setting up the marquee and equipment
(iii)Saturday 24th February 2018: 5 volunteers needed between 8.00am – 12 noon
Saturday is dedicated to setting up tables and chairs, levelling tables etc.
(iv)Monday 26th February 2018 : 5 volunteers needed between 7.00am - 12 Noon
Monday is pack-down: dismantling marquees, chairs, divider panels, staging and all general infrastructure.
Requirements:
- Fitness and agility, able to lift and carry heavy equipment such as crated plates/cutlery etc, chairs, tables, poles, canvas sheeting/walls.
- A Qualified Fork Lift Driver (1) would be an advantage
- Willingness to follow direction of Operations Managers

Club Volunteer Package No. 2A:
TABLE DRESSING TEAM
Community Support Grant to your Club: Up to $ 1,000
No. volunteers required: 10-20 (minimum 10) between 7.00am – 10.30am Sunday
Tasks: Table Setting/Dressing:
- Under direction of the appointed Food Service Managers, place chairs, dress tables with cutlery,
crockery, glass ware, promotional items and table decorations and floral arrangements etc. - as
directed.This group of volunteers works to a specified time frame.
Requirements:
- Willingness to closely follow direction of Function Manager and assigned coordinators.
CLTL Supervisor/Director: Judy Aperius
Club Volunteer Package No. 2B:
FOOD SERVICE TEAM
Community Support Grant to your Club: Up to $ 1,000
No. volunteers required: 15-25 (minimum 15) between 11.00am - 6.00pm Sunday
Tasks: Table Service:
- Under direction of the appointed Food Service Managers, carry plates and serve the various courses to guests seated at the group of tables assigned to you, clear tables between courses.
Requirements:
- Willingness to follow direction of Function Manager and assigned coordinators.
- Wear smart black skirt/trousers and enclosed shoes. CLTL will provide loaned shirt.

Club Volunteer Package No. 3:
DRINK SERVICE TEAM
Community Support Grant to your Club: Up to $1,000
No. volunteers required: 10-15 (minimum 10) between 11.00am – 6.00pm Sunday
Volunteers must be over 18 y.o.a.
Tasks:(i) Drink Service – RSA Qualified – 10+ need to be RSA Qualified
- Under direction of the appointed Bar Service Managers, serve mixed bottles of alcohol to your assigned group of tables, clear empty bottles away.
- Enforce RSA guidelines in a friendly manner.
(ii) Bar Assistants- No RSA Qualification required– 5 volunteers needed
- Working under direction of the Bar Supply Managers, issue bottles of wine to assigned group of tables.
- (iii)Drink Service volunteers (no RSA Qualification) receive and stack empty bottles as directed-
10 volunteers needed
Responsible Service of Alcohol (RSA) FREE TRAININGcould be arranged by CLTL if there is sufficient
interest - please list your details with Bev Buck CLTL Volunteer Coordinator if you would wish to attend this training.
Requirements:
- Provide proof of possession of Responsible Service of Alcohol (RSA) certificate (as appropriate.)
Club Liaison Officer to collect copies from Club members and make available to Bev Buck CLTL Volunteer Coordinator before the event.
- Comfortable with guests consuming large amounts of alcohol.
- Willingness to follow direction of Drinks Manager/s as assigned.
- Wear smart black skirt/trousers and shoes- CLTL will provide loaned shirt
CLTL Supervisor/Director: Wade Oliver and Reece Hughes
Club Volunteer Package No 4:
DISH SCRAPING TEAM
Community Support Grant to your Club: Up to $ 750
No. volunteers required: 8-10 Minimum 8 between 11.00am – 6.00pm Sunday
Tasks:Dish scraping/stack and pack:
- Receive returned plates, scrape scraps into bins provided, stack and pack plates as directed, stack and pack used cutlery ready for dishwashing.
Requirements:
- Willingness to follow direction of Floor Manager and assigned coordinators.
CLTL Supervisor/Director: Bev Buck CLTL Volunteer Coordinator
This task will be offered in the first instance to Bunbury Sea Rescue who have previously capably performed this role at Chefs Long Table Events
Club Volunteer Package No 5:
SANITATION MAINTENANCE (Incl. Toilets)
Donation to your Club: Up to $250
No. volunteers required: 2-4 Minimum 2 between 11.30am – 5.00pm Sunday
Tasks: Under direction, maintain Porta-Loos in a clean and tidy condition.
- Monitor and replenish toilet paper supplies as needed.
- Pick up and dispose of any litter, bottles or plastics into assigned bins.
Requirements:
- Willingness to follow direction of Grounds Manager and assigned coordinators
CLTL Supervisor/Director: Adrian Pike Grounds Manager
This task will be offered in the first instance to Carey Park Scout Group who have previously capably performed this role at Chefs Long Table Events
