Executive Assistant

The Boys & Girls Clubs of Martin County is seekinganExecutive Assistant to provide regular administrative support to the Chief Executive Officer and administration office. This individual will have an integral role insupporting the advancement ofboard relations, community relations, and resource development efforts.

Key Roles:

1.Mail pick-up from post office and collect from onsite mailbox.

2.Performs regular administrative functions, preparing correspondence and reports as requested, letters following established formats, proof-read materials for accuracy.

3.Copy machine operation and maintenance; managing inventory of office equipment, performing routine maintenance activities and contacting service representatives as needed.

4.Maintains office supply inventory and orders as necessary.

5.Maintains administrative calendar, scheduling meetings, make logistical and travel arrangements for internal and external meetings. Prepare meeting agenda and minutes, as requested.

6.Maintains master schedule of Club activities and events, collecting and disseminating information to all staff, volunteers, members and families as instructed.

7.Greets visitors, answers telephones and provide general information as necessary.

8.Maintains electronic and hard copy filing systems.

9.Responsible for preparation and set-up for monthly board meetings including meeting reminders and RSVPs, assembling meeting packets, setting up the meeting room, and taking minutes.

10.May be responsible for opening, dating, copying (as required) and distributing mail and faxes, copying and recording all donations and related correspondence.

11.Preparation and compilation of annual and new board member materials.

Skills/Knowledge Required:

•Four year degree in related field from college or university, or equivalent experience.

•A minimum of two years of experience managing a donor database; Donor Perfect preferred.

•Experience with Word, Excel, Desktop Publishing and Social Media preferred.

•Strong organizational skills.

•Strong communication skills both oral and written.

•Must be able to work a flexible schedule including some nights and weekends.

•Must be committed to the Boys & Girls Club mission and values.

Salary: $35,000
