Host Organization agrees to and will comply with the following policies:

Mountaineer Food Bank provides the truck, the driver, the vehicle, and the product for your mobile distribution. In order to provide a problem free and successful distribution, you will need to provide the following:

Site Requirements

  • A designated parking lot or site that is large enough for our trucks to drive in and turn around so that they are not in the street.
  • Parking supervision, cars are not to block the parking lot entrance or exit.
  • Pedestrians should wait in line out of traffic areas (assigning numbers is recommended)

Distribution

  • Our driver is responsible for the vehicle and may not be used to give out food in place of a volunteer. The driver may assist you in unloading the product from the truck.
  • You must provide volunteers who do not intend to receive products from the truck. If you would like to serve needy clients who are also volunteers, they need to take an equal amount of products at the end of the distribution process. Loading volunteer’s cars with products before the general distribution is not advised. This is viewed as unfair to those waiting in line and is not good practice.
  • Distribution records must be completed and kept on file for future review by MFB staff. This includes total number of households and/or total number of individuals.
  • No food may be placed on the ground, including in boxes. Tables or crates may be used to elevate the food. Only unload enough products to start your distribution.
  • Feeding programs are responsible for controlling the clients in an orderly fashion to receive products. Suggestion: After being checked in, give each client a “ticket” the says how many boxes of what that they may receive.
  • Feeding programs are responsible for any trash disposal. This includes empty/unusable boxes and plastic wrap. The driver can take back useable boxes and empty pallets.
  • Any food left at the end of the distributions may be returned on the truck, or if approved by MFB prior to hosting may be stored in your pantry. Food may not be “set aside” for the hosting organization prior to the general distribution.

Please review the following policies and post this information for all volunteers working at your sites.
