Accommodation and catering

Rooms have been booked at the hotel where the conference is to take place. The numbers of these, and of places at the conference, are limited and it is important to book as early as possible. In addition, accommodation may not be available (or available only at a significantly higher cost) after the date indicated at the top of this form. Bookings should be made on a copy of this form and NOT directly to the hotel.

The costs for the conference (arriving Saturday 11thJuly 2015 and leaving on Thursday16th June) will be GB£ 790 per person in a room shared with one other or GB£ 1190 per person for a single occupancy room. These rates(which include for some support from the conference budget) cover accommodation, transfers from and to airport, transfers to other conference venues, field visit, tea/coffee breaks, breakfasts, lunches, conference dinner on one evening, receptions, and conference costs. Participants should budget to meet separately the costs of meals not included in the conference cost, drinks and any additional costs such as telephone calls, gratuities and laundry (and will be responsible for paying the hotel for these extras), as well as dinners on other days. There is a range of dining options at or near the hotel.

EIA workshop

On 16th July, the day after the main conference, there will be a 1-day workshop on Environmental Impact Assessment. For practical reasons, the capacity of participation in this is limited. This is now fully booked and no places remain available.

Other extended stays

If you wish to stay in Gibraltar longerat your own expense, please indicate below your preferred requirements and we will investigate for you. (Concessionary hotel rates negotiated by UKOTCF and HMGoG are available for additional periods, subject to room availability. Please note that there is little unused hotel capacity at that season in Gibraltar, so reserving this at the time of conference booking is strongly advised.)

Attending only part of the conference

The conference is designed to be attended in full. The organisers cannot guarantee that the programme will remain as currently indicated, so that the time and day of presentations and sessions may change. However, if you wish to attend only part of the conference, please advise us by email, and we will investigate the possibility, but please note that preference may have to be given to those wishing to attend the whole conference.

Other information

The conference field-trip on the first morning has several purposes. These include: a little recovery time in the fresh air after long travel for most participants; a chance for participants to chat informally before the main sessions, which has been found to make the latter most effective; and a chance to see something of the territory, its environment and some current issues.

There are two options: (a) a boat trip of about 2 hours, to see something of the marine environment, which is very rich in this area where the Atlantic and the Mediterranean meet in the Straits and Bay of Gibraltar. As ever with such trips, arrangements are weather-dependent – but this is generally a good season for this.

For those preferring, there will be (b) a terrestrial trip at the same time, to the Upper Rock of Gibraltar.

Please note that few places remain available on the marine trip, but we will establish a stand-by list in the event of there being cancellations.

Payments

Because the time for full payments has now passed, and the conference is becoming liable for costs. Therefore, payments will be due when your booking is accepted. After this time, refunds cannot be made. Participants are advised to take out appropriate travel insurance. Details of payment arrangements are given later in this form.

After receiving your booking form, UKOTCF will check for any charges due. UKOTCF will detail these to you and indicate payment options. In order to simplify currency exchanges, these will include options for payment by credit or debit card and electronic bank transfer.

This timing is so that the abstract can be included amongst the information distributed in the delegates’ and press packs. ACTION NEEDED IN MAY (or earlier)

We need to receive thewritten version of your poster presentation(for publication in the conference proceedings)by 15th JUNE 2015 (or in May, if possible); to be sent to (copy to ). This needs to be written as a paper, not as images of your poster. It should be supplied by e-mail (ideally as rtf or MS Word files), for publication in this way. Written versions may include more than the presented material. Suitable electronic versions of any illustrations (e.g. diagrams, photographs) to be included should be supplied at the same time – but as separate image files (such as jpeg) and NOT embedded in a text file. You will be given the chance to revise your paper immediately after the conference if you wish, but it is important that an initial version is supplied in advance, as indicated above.We will publish the Proceedings on the Forum's web-site (from where Proceedings of previous conferences can already be downloaded).

The space for your poster will be indicated to you on Saturday 11th July (or when you arrive, if later). This space, and no other, should be used. Posters will need to be removed in the late afternoon/early evening of Wednesday 15th July.
