JOB DESCRIPTION

JOB TITLE: Finance Administration Assistant (21 Hours per week)

RESPONSIBLE TO: Head of Finance

SALARY: £8.33 per hour

KEY TASKS

The following tasks are your area of responsibility - accuracy and attention to detail should be applied throughout all finance tasks.

·  Ensure all payroll files to mirror same layout and are consistent

·  Identify missing paperwork and follow-up

·  Ensure audit trail for change in employee details, e.g. tax codes, bank details, etc is retained

·  Photocopying of Direct Payments paperwork

·  Weekly payroll filing

·  Weekly printing off payslips and reports for payroll clients

·  Input new clients details onto client master template and through all other associated files

·  Ensure HMRC & Government Gateway contact details are current and audit ready

·  Check all relevant paperwork signed by authorised signatories

·  General / bank journals run in sequential order

·  Sales invoices / credit memos run in sequential order

·  Purchase invoice / credit memos run in sequential order

GENERAL RESPONSIBILITIES

·  Stamp and distribute finance mail

·  ADHOC

ADDITIONAL DUTIES

It is in the nature of the work of Engage Renfrewshire that tasks and responsibilities are often unpredictable and varied. All staff are expected to work in a flexible way when occasionally tasks arise which are not specifically covered by a job description. These additional tasks will normally be to cover unforeseen circumstances of changes in work and will normally be compatible with the jobholder’s regular area of work. If the additional duties become a regular or frequent part of the jobholder’s duties it may be included in their job description in consultation with the member of staff.

PERSON SPECIFICATIONS

Essential:

·  Previous experience working in an administration role

·  Good organisational and planning skills

·  Excellent communication skills, both written and oral

·  Ability to maintain focus and provide efficient service under pressure in a busy environment

·  Good interpersonal skills and customer service skills

·  Well presented

·  Good multi-tasking skills

·  Flexible approach to duties

·  Ability to deal with sensitive material confidentially and discreetly

·  Knowledge and understanding of data protection regulations

·  Proficiency in the use of Microsoft Word and Excel

Desirable:

·  Previous experience of working in an accounts office

·  Database knowledge
